R&D Project Coordinator / Excel Analyst — Remote, Philippines

About Emplifi

Emplifi helps U.S. businesses with R&D tax credits and cost segregation studies. We work with companies in industries such as construction, engineering, manufacturing, software, architecture, product development, and real estate.

We are looking for a smart, reliable, detail-oriented Philippines-based team member who can help with project tracking, Excel calculations, client information requests, documentation, and R&D project support.

This is not a basic virtual assistant role. We need someone who is analytical, organized, good with numbers, strong in Excel, and able to communicate professionally with our internal team and eventually with clients.

Main Responsibilities

You will help Emplifi with:
  • Organizing client files, project folders, and request lists
  • Tracking R&D tax credit and cost segregation projects from start to finish
  • Reviewing client information and identifying missing items
  • Following up with clients and team members for documents and answers
  • Working in Excel to organize numbers, calculate totals, and prepare schedules
  • Helping prepare R&D project summaries and documentation
  • Reviewing payroll, expense, project, and contractor information
  • Keeping CRM/project boards updated
  • Creating checklists, status reports, and project notes
  • Helping the U.S. team stay organized and meet deadlines
  • Learning Emplifi’s internal process and improving it over time
Required Skills The right person should have:
  • Strong Excel skills, including formulas, sorting, filtering, tables, basic financial calculations, and clean formatting
  • Strong attention to detail
  • Good written English
  • Clear spoken English
  • Ability to follow detailed instructions
  • Ability to work independently without constant supervision
  • Strong organization and follow-up skills
  • Comfortable working with numbers, documents, and client information
  • Reliable internet and computer
  • Willingness to learn U.S. tax credit and cost segregation processes
  • Honest, dependable, and long-term minded
Preferred Skills These are helpful but not required:
  • Experience as a project coordinator, analyst, accountant assistant, engineering assistant, estimator, finance assistant, or operations assistant
  • Experience with U.S. clients
  • Experience using CRM systems, Monday.com, ClickUp, Asana, HubSpot, or similar tools
  • Accounting, finance, engineering, construction, architecture, or tax-related background
  • Ability to create reports, summaries, and client-facing documents
  • Experience reviewing payroll, expenses, invoices, or project cost data

Compensation

Starting pay is $900–$1,300 USD per month, depending on experience and skill level.

Higher pay is available for someone who can prove strong Excel ability, client communication, project management, and analytical thinking.

Performance reviews may be offered after 60–90 days.
