Work Schedule: EST Timezone, 8:00PM-5:00AM PHT

Position Summary

We are seeking a highly organized and detail-oriented Virtual Assistant with Accounting and Human Resources experience to support our Finance and HR operations.

This role is ideal for someone who is comfortable working with financial records, payroll and contractor information, employee documentation, HR administration, and operational reporting. The position will work closely with Finance, HR, and other operational teams to ensure information is accurate, documentation is complete, and recurring processes are completed on time.

The ideal candidate has strong Excel skills, understands accounting principles, has experience supporting HR processes, and is comfortable working independently in a remote environment.

Key Responsibilities

Accounting & Finance Support
  • Assist with accounts payable and accounts receivable administration.
  • Review invoices, bills, receipts, and supporting documentation for completeness and accuracy.
  • Assist with customer invoicing and contractor payment documentation.
  • Maintain organized electronic accounting and financial records.
  • Assist with transaction coding and expense categorization.
  • Support bank and credit card reconciliations.
  • Maintain accounting schedules, including accruals, prepaid expenses, amortization schedules, and other reconciliations as assigned.
  • Assist with payroll and contractor payment reconciliations.
  • Compare payroll, billing, timesheet, and system data to identify discrepancies.
  • Assist with tracking contractor pay rates, client billing rates, and rate changes.
  • Update financial trackers, spreadsheets, and recurring reports.
Human Resources Support
  • Maintain employee and contractor personnel records.
  • Assist with onboarding and offboarding documentation.
  • Track completion of employment and contractor documentation.
  • Maintain employee and contractor information within HR and operational systems.
  • Assist with timesheet and attendance administration.
  • Assist with preparation and distribution of HR forms, policies, agreements, and acknowledgments.
  • Monitor outstanding employees and contractor documentation and follow up as necessary.
  • Assist with compensation, payrate, and employee information updates.
  • Support performance review and employee development documentation.
  • Maintain confidential HR records in accordance with company policies.
  • Assist with HR reporting and employee data reconciliation.
  • Provide administrative support for HR projects and initiatives.
Systems & Data Management
  • Maintain accurate information across accounting, payroll, human resources, and operational systems.
  • Perform regular comparisons between systems to identify missing or inconsistent information.
  • Update spreadsheets, trackers, and databases.
  • Maintain organized digital files and documentation.
  • Assist with developing and maintaining standard operating procedures
  • Follow established internal controls and approval procedures.
Required Qualifications
  • Minimum 2-3 years of experience in accounting, bookkeeping, finance administration, HR administration, or a combined Accounting/HR support role.
  • Experience working as a Virtual Assistant or in a remote professional environment is a must during U.S. Business Hours
  • Working knowledge of basic accounting principles, including:
  • Accounts payable
  • Reconciliations
  • Payroll
  • Expense classification
  • Experience supporting HR administration, employee records, onboarding, or payroll.
  • Strong Microsoft Excel
  • Strong attention to detail and ability to identify discrepancies.
  • Excellent organizational and time management skills.
  • Strong written and verbal English communication skills.
  • Ability to manage confidential employees and financial information appropriately.
  • Ability to work independently while meeting established deadlines.
  • Reliable internet connection and appropriate remote work environment.
Preferred Qualifications
  • Experience with one or more of the following is preferred:

  • QuickBooks Online
  • Bill.com

  • Deel
  • JobDiva or another ATS/CRM system

  • OrangeHRM or another HRIS
  • Microsoft Excel, including formulas, lookups, pivot tables, and data reconciliation
  • Microsoft Outlook and Microsoft 365
  • Payroll or contractor payment processing
  • Previous experience supporting a U.S. based company while working remotely from the Philippines is strongly preferred.
Ideal Candidate
  • The ideal candidate is someone who likes working with numbers but is also comfortable working with people and HR processes. They should enjoy organizing information, reconciling data, identifying errors, maintaining documentation, and making sure processes are completed correctly.
  • We are not looking for someone who simply performs data entry. We are looking for someone who will review the information, recognize when something does not look correct, ask questions, and follow the issue through to resolution.
