HIRING: Administrative Virtual Assistant

We are looking for a highly organized and detail-oriented Administrative Virtual Assistant to support the day-to-day operations of a US-based custom signage company. In this role, you will provide administrative support, coordinate projects, assist with customer communication, maintain organized records, and help keep business operations running efficiently. Responsibilities

  • Answer and respond professionally to customer inquiries via phone and email.
  • Provide clients with updates regarding orders, project timelines, and pickups.
  • Schedule appointments, meetings, and installation schedules.
  • Prepare quotes, invoices, work orders, and other administrative documents.
  • Maintain organized digital files for projects, invoices, and customer records.
  • Track incoming jobs and coordinate updates with the production team.
  • Assist in ordering materials and office supplies as needed.
  • Monitor inventory levels and notify management when replenishment is required.
  • Coordinate with designers, fabricators, and installers to ensure projects stay on schedule.
  • Update internal systems and project records accurately.
  • Follow established workflows and standard operating procedures (SOPs).
  • Perform general administrative tasks to support daily business operations.

Qualifications

  • Previous experience as an Administrative Assistant, Virtual Assistant, Office Administrator, or similar role.
  • Excellent verbal and written English communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • High attention to detail and excellent problem-solving skills.
  • Proficiency in Google Workspace and Microsoft Office.
  • Comfortable learning and using cloud-based software and business systems.
  • Professional customer service and communication skills.
  • Ability to work independently while managing multiple priorities.
  • Experience in construction, manufacturing, signage, printing, or commercial services is an advantage.
  • Experience with CRM systems is a plus.

Compensation

  • $4–$5/hour
  • Full-Time and Part-Time opportunities available

Schedule

  • Monday to Friday
  • Night Shift (US Business Hours)
