Assistant Community Manager
Key Responsibilities
Administrative &
- Executive Support
- Manage and maintain the Director’s calendar, appointments, reminders, and follow-up tasks.
- Prepare meeting agendas, summaries, and document packets.
- Track action items for both the Director and onsite teams.
- Draft emails, communications, and announcements in the Director’s tone and format.
Property Management Support
- Assist with organizing property data, directories, SOPs, and training materials.
- Help compile weekly and monthly reports (occupancy, delinquency, leasing, variance).
- Maintain updated versions of templates, workflows, and checklists.
- Coordinate with onsite managers as directed for document collection, unit updates, and task follow-ups.
Document &
- File Management
- Create, format, and organize documents in Word, Excel, PDF, and Canva.
- Maintain structured digital filing systems: SOPs, templates, budgets, marketing materials, and inspections.
- Update shared folders with the latest forms and versions.
- Prepare printable and digital versions of presentations, guides, and checklists.
Communication &
- Team Coordination
- Draft professional emails, memos, and updates for internal and external stakeholders.
- Help organize agendas and materials for team meetings, trainings, and workshops.
- Track responses, deadlines, and deliverables assigned to onsite staff or vendors.
Data Entry &
- Reporting
- Input data into spreadsheets, trackers, and dashboards (leasing, repairs, move-ins/outs).
- Assist in building or maintaining Excel tools (market surveys, budget trackers, renewal logs, etc.).
- Compile reports using provided data; help identify missing information.
Technical Skills Required
- Strong proficiency or ability to learn:
- Microsoft Excel, Word, PowerPoint
- Bonus: Experience with AppFolio, property-management software, or CRM tools.
- Ability to learn new systems quickly and follow established workflows.
