Assistant Strata Manager

Job Description:

  • Prepare AGM and EGM agendas for the Strata Manager’s review, and coordinate meeting dates, calendar invites and owner notices
  • Process section 22 owner interest notices and prepare section 184 strata certificates and strata search responses for the Strata Manager’s sign-off
  • Coordinate compliance renewals, including Annual Fire Safety Statement inspections, pool certification and lift registration, liaising with contractors and residents
  • Prepare paperwork and documentation for Strata Plan audits, and draft annual budgets for the Strata Manager’s review
  • Coordinate insurance quote requests and send and follow up work order and quote requests with contractors
  • Draft initial by-law breach letters from approved templates
  • Upload invoices into the property management system for approval
  • Support an in-house Strata Manager across a live portfolio of residential and mixed-use schemes
  • Keep schemes audit-ready and running smoothly

Requirements:

  • At least 2 years’ experience supporting an Australian strata management business — non-negotiable
  • Strong written English
  • Strong attention to detail and accuracy
  • Ability to follow established procedures and templates precisely
  • Comfortable managing multiple schemes, deadlines and stakeholders simultaneously
  • Reliable internet and a dedicated home workspace
  • Availability during Australian business hours: 8:00 AM to 5:00 PM AEST, Monday to Friday
  • Preferred: hands-on experience preparing AGM/EGM agendas, section 22 notices, section 184 certificates, strata searches, or by-law breach letters
  • Preferred: hands-on experience with Strata Master or Strata Connect
  • Preferred: familiarity with NSW strata compliance requirements, including AFSS, pool certification and lift registration
  • Preferred: experience supporting a Strata Manager in a BPO, offshore or remote capacity
