As an Outsourced staff member, you will enjoy a fun and friendly working environment, competitive salaries, opportunities for growth and development, work-life balance, and the chance to share your passion with a team of over 1000 talented professionals.<br><br><strong>Core Duties<br><br></strong><ul><li>Manage onboarding and training processes, ensuring all new starters are inducted, documented, and presented with role expectations and safety requirements.</li><li>Provide employees with comprehensive training itineraries for the attendance of training which includes accurate information and snippets to assist them getting to the right places at the right time.</li><li>Coordinate equipment and vehicle compliance, ensuring registrations, inspections, calibrations, and documentation are current, and that we renew these before expiry dates.</li><li>Support equipment maintenance scheduling, coordinating machine downtime, service bookings, and communication between General Manager and mechanics/mechanical contractors</li><li>Manage room and locker allocations and ensure that information about allocations in Aroflo calendar is correct and current.</li><li>Break down returned job packs, upload timesheets, and flag issues or missing information prior to closing out jobs for invoicing.</li><li>Raise and issue purchase orders, ensuring suppliers, pricing, and approvals are correctly managed.<br><br></li></ul><strong>Safety Responsibilities<br><br></strong><ul><li>Ensure new starters receive correct safety training and verification of competencies, supporting compliance with internal and client requirements.</li><li>Maintain up-to-date training records, licenses, VOCs, and medicals.<br><br></li></ul><strong>Compliance & Documentation<br><br></strong><ul><li>File, upload, and maintain all operational documentation, ensuring accuracy and traceability.</li><li>Identify discrepancies in job packs, including lack of prestart, take 5's or other predetermined requirements, and follow up with management.<br><br></li></ul><strong>Customer/Client Interaction<br><br></strong><ul><li>Communicate with clients when required, providing documentation, inductions, and administrative support.<br><br></li></ul><strong>Maintenance & Housekeeping<br><br></strong><ul><li>Track equipment service schedules and coordinate bookings.</li><li>Create tasks for defects as reported<br><br></li></ul><strong>Performance Expectations<br><br></strong><ul><li>Maintain accuracy and timeliness in administrative work, ensuring invoicing and payroll processes are supported through correct documentation.</li><li>Demonstrate familiarity with accounts processes to support during peak workloads.</li><li>Be proactive in the approach to work in order to meet operational needs.<br><br></li></ul><strong>Behaviour & Conduct Standards<br><br></strong><ul><li>Present a professional, organised administrative front, supporting smooth daily operations.</li><li>Ensure confidentiality and professionalism in handling employee documentation.<br><br></li></ul><strong>Work Arrangement<br><br></strong><ul><li>Home-based ; Should have strong internet connection (minimum of 20 mbps)<br><br></li></ul><strong>Work Schedule<br><br></strong><ul><li>Monday-Friday, 6:00 AM - 3:00 PM<br><br></li></ul><strong>Note: As part of our recruitment process, we conduct a background check on all hired candidates.
