Bookkeeper — MULTI-ENTITY GROUP
**ACCOUNTS RECEIVABLE**
Raising all client invoices within five working days of each period closing. Cross-referencing every invoice against the relevant purchase order before issue. Producing aged debtors schedules monthly for all entities. Chasing all overdue invoices on a structured 30, 45, 60-day cycle. Escalating unresolved debts at 90 days. Preparing credit notes and corrected invoices where required. Maintaining the shared receivables spreadsheet for incoming client payments.
**ACCOUNTS PAYABLE**
Posting all supplier invoices and expenses to the correct nominal accounts. Coding all transactions to the correct entity. Maintaining supplier records in QuickBooks.
**BANK RECONCILIATION**
Weekly bank feed reconciliation for all entities. No unmatched transactions left open. Full monthly bank reconciliation completed by the 8th of each month. Investigating and resolving all discrepancies before posting correcting entries.
**PAYROLL JOURNALS**
Posting payroll journals for all payroll entities following each monthly cycle. Gross wages, PAYE, NIC, pension contributions, net wages, employer NIC — all posted separately to the correct nominal accounts and correct entity.
**INTERCOMPANY ACCOUNTING**
Classifying all inter-entity transfers as loans, service recharges, or specific payments. Building and maintaining the intercompany tracker. Reconciling intercompany debtor and creditor positions across all entities so they agree. Investigating and resolving discrepancies where balances do not match between entities.
**GENERAL LEDGER**
Posting all journals including accruals and prepayments. Maintaining the chart of accounts across all entities. Period-end close by the 8th of each month. Supporting the accounts preparation specialist with month-end and year-end information.
**CREDIT CONTROL**
Formal payment reminder at 30 days. Second notice at 45 days. Final notice at 60 days. Escalation to Managing Partner at 90 days. Logging all chase activity with dates and responses.
**INVOICING**
Raising invoices for care, security, and facilities management entities. Verifying hours and rates against purchase orders before issue. Submitting invoices through client portals or by email as required by each council or client. Managing self-billing arrangements where applicable.
**REPORTING**
Monthly aged debtors report by the 5th covering all entities with current, 30, 60, 90-day splits and month-on-month movement. Supporting the Managing Partner with ad hoc financial information as required.
**COMPLIANCE AND HOUSEKEEPING**
Maintaining accurate records in QuickBooks at all times. Ensuring all transactions are coded correctly and no items sit in suspense. Annual leave reconfiguration in QuickBooks. Flagging any unusual transactions or intercompany balances to the Managing Partner immediately.
