We are currently seeking a proactive and detail-oriented Case Coordinator to join our growing Operations team.

About the Role

As a Case Coordinator, you will be responsible for managing medical assistance cases, coordinating with healthcare providers and insurers, and ensuring prompt, professional communication with all stakeholders. This role requires excellent organizational skills, the ability to multitask, and a commitment to delivering exceptional service in a fast-paced environment.

Key Responsibilities

  • Respond to incoming emails promptly, including priority cases within 10 minutes.
  • Manage operational and urgent medical assistance cases from start to finish.
  • Communicate professionally via email and telephone, including outbound (cold) calls when required.
  • Coordinate and book medical appointments.
  • Liaise with insurers, clinics, hospitals, specialists, and other healthcare providers.
  • Follow up on medical reports, invoices, referrals, and supporting documentation.
  • Monitor calendars and appointment schedules to ensure timely case progression.
  • Provide regular updates through internal communication channels.
  • Manage outstanding statements, documents, and pending case requirements.
  • Perform other operational and administrative duties as assigned.

About You

To be successful in this role, you will have:
  • Previous experience in healthcare administration, case coordination, customer service, medical reception, or a similar role.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and organizational skills.
  • The ability to manage multiple priorities in a fast-paced environment.
  • Confidence in communicating with patients, insurers, and medical professionals.
  • Proficiency in Microsoft Office and web-based systems.
  • A proactive, reliable, and customer-focused attitude.

Preferred

  • Experience in the Australian healthcare or medical industry.
  • Knowledge of medical terminology.
  • Experience working with insurers or medical assistance companies.
