About the Role

We are looking for a sharp, proactive Digital Marketing & Administrative Assistant who seamlessly bridges the gap between digital marketing execution and service-business operations. This role centers on two core objectives: growing a warm lead pipeline and elevating every client touchpoint to feel seamless, personal, and well-managed.

If you have previously supported a photographer, creative entrepreneur, or service-based business, you will hit the ground running. You won't need a lengthy onboarding process to understand what a session inquiry looks like or why elevated client care matters—you already get it. If you are an organized, self-directed CoWorqer who thrives at keeping things moving behind the scenes while driving warm lead engagement, this role was built for you.

What You'll Be Doing

  • Lead Generation & Cultivation: Serve as the primary driver for lead cultivation—actively nurturing prospective clients, following up with warm leads, and building an organic, highly engaged community presence.

  • Community & Social Inbox Management: Own daily social media engagement across brand platforms—responding to comments and direct messages in a warm, authentic voice that feels human, not robotic.

  • Inbox & Schedule Alignment: Manage incoming email inquiries and executive scheduling to ensure zero delays in response times.

  • Meeting Operations & Action Tracking: Attend team/client syncs, record detailed meeting notes, and translate discussions into actionable follow-up task lists.

  • Admin & Invoicing Support: Handle recurring operational reminders, administrative tasks, and billing/invoice processing to keep backend business operations pristine.

What We're Looking For

  • 3+ Years Assistant Experience: Direct, proven background as a Virtual Assistant or Digital Marketing Assistant for service-based businesses.

  • Creative / Photography Industry Familiarity: Prior experience supporting a photographer, creative studio, or client-facing service brand (strongly preferred for smooth onboarding).

  • Polished Written Communication: Outstanding written English, particularly for client-facing emails, warm lead outreach, and community social engagement.

  • Self-Directed Organization: Exceptionally detail-oriented and autonomous—you track your own tasks, anticipate next steps, and run smoothly without micromanagement.

  • AI Tool Fluency: Comfortable leveraging modern AI platforms—Claude (preferred) or Gemini—as part of your daily workflow to move faster and draft effectively.

  • Executive Preference: Prior experience working closely in a one-on-one virtual partnership with a female founder/creative executive.
