We are looking to build a long-term working relationship with someone who takes ownership of their work and grows alongside the company. About the Role

We are hiring an Ecommerce & Operations Virtual Assistant to manage daily ecommerce operations and customer support across multiple sales channels including online marketplaces and our WordPress website.

This role focuses on order administration, customer communication, basic website updates, and ongoing administrative support so the owner can focus on fulfillment and strategic growth.

The ideal candidate is detail-oriented, calm under pressure, trustworthy, and communicates with customers in a respectful, patient, and professional manner.

Key Responsibilities Ecommerce Operations & Order Administration

Log into Walmart Marketplace, Amazon Seller Central, and WordPress daily

Review and organize all orders across channels so they are ready for warehouse fulfillment

Create and maintain daily order lists in Google Sheets, including SKUs, customer names, and key notes

Prepare shipping labels and ensure tracking details are properly updated

Monitor marketplace issues such as claims, returns, price competitiveness, and order adjustments

Flag unusual patterns, errors, or operational issues early and provide clear summaries to the owner

Refunds will be reviewed and processed directly by the owner

Customer Support & Communication

Manage customer messages from Walmart and Amazon

Respond to customer emails and live chat inquiries professionally and promptly

Handle order changes, sizing questions, and general support inquiries

Answer inbound phone calls when required, take clear messages, and escalate urgent matters

Maintain a calm, friendly tone appropriate for senior customers and caregivers

WordPress Website Updates & Maintenance

Confidently navigate WordPress and WooCommerce

Upload products using provided images, pricing, and details

Support website upkeep including formatting corrections and spotting content issues

Create and publish blog posts using AI tools and owner guidance

Assist with basic SEO tasks and updates in Google Search Console when requested

Invoicing & Administrative Support

Update invoice numbers and dates using owner-provided templates

Maintain organized and accurate records in Google Sheets and Notion

Assist with structured workflows and documentation inside Notion

Complete simple posting or administrative tasks when requested

Research & Outreach Support

Build lists of medical supply businesses, clinics, and related organizations

Gather names, emails, phone numbers, and organized notes

Prepare draft outreach emails for owner review

Support LinkedIn and research tasks as trained
