Ecommerce Admin Support Assistant

Our client is an established Sydney-based online business specialising in wholesale and retail garden decor across Australia. Operating successfully for seven years, they are a small, fast-moving team that leverages modern AI tools daily to drive innovation and operational efficiency.

They are now seeking to hire an Ecommerce Admin Support Assistant to maintain daily operational excellence and keep their digital storefronts running seamlessly. Serving as the backbone of day-to-day operations, this role ensures high data accuracy, spotless website content, and smooth platform administration.

Job Responsibilities

Ecommerce & Website Management

  • Manage and update product listings across Shopify and BigCommerce platforms
  • Update pricing, inventory levels, product descriptions, and category structures
  • Audit website content continuously to identify and resolve broken links, listing errors, and system glitches

Data Processing & Image Editing

  • Perform product data entry, spreadsheet formatting, data cleaning, error correction, and duplicate removal
  • Prepare product images by executing background removal, cropping, and resizing
  • Upload and organise processed product media across ecommerce channels

Marketing & Operational Support

  • Create engaging marketing collateral using Canva and AI platforms
  • Conduct daily research and administration using AI productivity tools such as ChatGPT and Claude
  • Conduct outbound calls and support general operational tasks as priorities evolve
  • At least four years of experience in an ecommerce administration, virtual assistant, or operations support role
  • Advanced proficiency in Microsoft Excel for data entry, formatting, and data cleaning
  • Practical experience preparing and editing product images using Canva, Photoroom, or AI tools
  • Proven experience utilising AI tools such as ChatGPT and Claude for everyday work efficiency
  • High level of attention to detail with a strong commitment to data accuracy
  • Excellent written English communication capabilities
  • Hardware setup meeting minimum specifications including an i5 or i7 10th-Gen processor, 16GB RAM, dual monitors, and high-speed internet with a backup connection
Nice-to-Have Skills
  • Hands-on experience working directly with both Shopify and BigCommerce platforms
  • Previous experience making outbound business support calls
  • Demonstrated ability to create advanced workflows using AI design and research applications
