Role Overview
We are looking for a Remote Medical Coordinator to support international English speaking customers interested in cosmetic and medical beauty treatments in Korea.The primary communication method for this role will be written communication, mainly chat and email with customers.
This role is focused on managing the initial intake process for customers, responding in English, collecting key treatment information, organizing patient details in the CRM, coordinating internally in Korean through text, and helping guide interested customers toward consultations with Korean clinics.
The ideal candidate has strong written English, can read and write Korean for internal text communication, has strong CRM hygiene, and is comfortable with consultative, sales-oriented customer communication.
This is not a passive customer service role. The coordinator is responsible for making sure every interested customer is properly qualified, followed up with, documented, and moved to the next clear step.
Key Responsibilities
English Chat and Email Intake- Respond to customer inquiries in English through chat, email, WhatsApp, KakaoTalk, Instagram, and other written channels
- Start the initial intake process for customers interested in cosmetic treatments in Korea
- Collect key information such as treatment interests, photos, budget, travel dates, timeline, previous procedures, concerns, and desired results
- Ask clear follow-up questions to understand the customer’s needs
- Explain the general consultation process clearly through written messages
- Help customers understand the next steps without overpromising results or giving medical advice
- Follow up with interested customers who have not completed intake, replied, or scheduled a consultation
- Guide customers through the early decision-making process in a helpful and professional way
- Identify serious, qualified customers versus casual inquiries
- Understand customer concerns, motivations, timeline, and budget
- Help move qualified customers toward consultation booking
- Use clear written communication to build trust and reduce confusion
- Avoid pushy sales tactics while still maintaining strong follow-up discipline
- Escalate high-value, sensitive, or complex customers to management when needed
- Update customer records in the CRM accurately and consistently
- Track customer status, treatment category, budget, travel dates, clinic interest, photos received, intake completion, and next action
- Make sure every active customer has a clear follow-up task
- Keep notes clean so other team members can understand the customer’s situation quickly
- Tag and organize leads properly based on status and priority
- Document every important customer interaction
- Maintain clean pipeline visibility so no inquiry is lost
- Communicate internally in Korean through text with Korean-speaking team members
- Send and receive Korean messages related to customer status, clinic quotes, schedules, and follow-ups back to customers in English.
- Read Korean clinic or team responses and organize the key information clearly
- Follow up by text when information, quotes, or availability are delayed
- Translate or summarize Korean information into clear English customer-facing updates when needed
- Schedule online and in-person consultations
- Confirm customer availability, clinic availability, interpreter needs, and appointment details
- Send appointment reminders and follow-up messages
- Track pending quotes, pending customer replies, consultation dates, deposit status, and next steps
- Make sure each customer has a clear follow-up plan
- Strong written English communication
- Ability to read and write Korean for internal text communication
- Strong CRM hygiene and documentation habits
- Comfortable handling customer communication mainly through chat and email
- Consultative and sales-oriented communication style
- Organized and detail-oriented
- Able to manage multiple customer conversations at the same time
- Strong follow-up discipline

- Medical tourism experience
- Clinic coordination experience
- Dermatology, plastic surgery, dental, beauty, or healthcare support experience
- Chat support, email support, or remote customer support experience
- Sales support, lead qualification, appointment setting, or intake coordination experience
- Experience working with international customers
- Experience using CRM systems such as Zoho, HubSpot, Airtable, Notion, Salesforce, or similar tools
- Experience working with Korean companies, Korean clinics, or Korean-speaking teams
- Reliable
