Qualifications
  • At least 2 years of experience as an Executive Assistant, Administrative Assistant, or similar executive support role
  • Hands-on experience using CRM platforms, preferably HubSpot
  • Experience using AI tools such as ChatGPT, Claude, or similar platforms to improve productivity and administrative efficiency
  • Experience using workflow automation platforms including Make.com, Zapier, n8n, or similar tools
  • Experience working with collaboration and work management platforms such as Notion, Confluence, or similar applications
  • Excellent written and verbal English communication skills
  • Strong organizational, multitasking, and time management skills with exceptional attention to detail
  • Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, and Slides) and Microsoft Office (Word, Excel, and PowerPoint)
  • Confident handling inbound and outbound calls professionally during Sydney business hours
  • Ability to work independently, maintain accuracy, and deliver high-quality administrative support in a fast-paced environment
  • Must be amenable to a part-time, project-based role and work during Sydney business hours
Highly Preferred
  • Previous experience supporting clinical trials, healthcare, medical research, nursing, or other healthcare-related organizations
  • Familiarity with Claude Code or similar AI-assisted productivity tools
Responsibilities
  • Manage calendars, schedule meetings, and maintain shared team inboxes
  • Prepare company announcements, briefs, and internal communications
  • Create and maintain reports, presentations, and business documents using Microsoft Office and Google Workspace
  • Track team tasks, action items, and deadlines to ensure timely completion
  • Handle inbound and outbound calls for screening, scheduling, and administrative coordination
  • Organize and maintain documentation in Confluence, Notion, and similar platforms
  • Utilize ChatGPT, Claude, and AI productivity tools to streamline executive and administrative workflows
  • Support lead generation by researching, building, and organizing contact lists within HubSpot CRM
  • Maintain HubSpot CRM through data entry, record updates, data cleansing, and task follow-ups
  • Coordinate with team members to monitor project requirements, milestones, and outstanding actions
