This position will provide overall administrative support for the executive of the team and other team members as needed, including but not limited to answering phones, maintaining busy calendars and arranging day-to-day meetings. What You Will Do Manage all incoming phone calls and communications Coordinate meetings, including logistics, preparation, invitations, materials, and note-taking Manage calendars, including long range planning and day-to-day meetings Coordinate... travel File reference materials Prepare all business-related expenses, ensuring expense reports and invoices are completed and filed in a timely manner Order supplies/materials and process invoices where necessary Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc. Support departmental projects as needed Troubleshoot occasional facility issues Additional duties as required Required Qualifications & Skills Friendly, easy-going manner to handle varied personalities, responsibilities and assignments Excellent written and verbal communications and interpersonal skills to ensure successful interaction with senior executives, business unit contacts, and key external partners Ability to make independent decisions in the handling of sensitive and confidential information while exercising good judgment and discretion Detail oriented with superior organization skills Competence in general administrative skills including answering the phone, filing etc. Excellent skills in typing/grammar/spelling with proficiency in Microsoft Word, Excel, Database Management, PowerPoint, Keynote and Outlook Technology literate Ability to work overtime when special projects dictate Overall working knowledge with the SAP system helpful Team player - willing to work with other assistants and staff at all levels Organized in thinking and execution to maintain an efficient office, including files, databases, and other information Ability to multitask with urgency Positive attitude and the ability to be proactive, resourceful and flexible Exceptional organizational and follow-through skills with the ability to work on many projects simultaneously Preferred Qualifications Concur experience a plus NetDocs experience a plus Education Bachelor’s degree or equivalent experience preferred Additional Information Disney offers a rewards package to help you live your best life. The internal title for this position is Secretary IV. The hiring range for this position in Burbank, California is $63,400.00 to $85,000.00 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
