Executive Assistant – Operations, HR

Job Description:

  • Manage complex calendars and meeting scheduling
  • Coordinate internal and external meetings
  • Book domestic and international travel
  • Manage executive inboxes (Gmail & Outlook)
  • Prepare meeting agendas and follow-up actions
  • Schedule interviews with candidates and hiring managers
  • Coordinate recruitment processes
  • Liaise with candidates professionally
  • Keep applicant tracking systems and hiring documentation organised
  • Support employee onboarding and offboarding
  • Assist with HR administration and documentation
  • Maintain company records and internal documentation
  • Coordinate office supplies and operational purchases
  • Assist with company-wide administrative projects
  • Prepare documents and presentations
  • Manage digital filing systems
  • Coordinate with external suppliers and service providers
  • Learn and utilise new software platforms as the business grows

Requirements:

  • Exceptionally organised with outstanding attention to detail
  • Highly proactive and able to work with minimal supervision
  • A strong communicator with excellent written and spoken English
  • Comfortable asking questions and taking initiative
  • Calm under pressure and able to prioritise multiple tasks
  • Tech-savvy and quick to learn new software
  • Professional, reliable, and discreet when handling confidential information
  • Previous experience as an Executive Assistant, Operations Assistant, or Administrative Assistant
  • Excellent organisational and time management skills
  • Experience using Google Workspace and Microsoft Outlook
  • Strong written communication skills
  • Ability to manage multiple priorities simultaneously
  • High level of professionalism and confidentiality
  • Experience supporting startup or technology businesses
  • Recruitment or HR administration experience
  • Experience using applicant tracking systems (ATS)
  • Familiarity with DocuSign and document management
  • Experience with project management tools (Asana, ClickUp, Monday.com, Notion, etc.)
  • Experience coordinating remote teams
