Executive Assistant / Project Coordinator (Publishing & AI)

Job Overview

We're looking for a highly organized Executive & Publishing Project Coordinator to help manage a fast-growing portfolio of books, websites, videos, and AI-generated content. You'll work closely with the founder to transform ideas into polished, organized, and publish-ready materials while keeping multiple projects moving simultaneously.

This role is ideal for someone who enjoys organizing information, coordinating projects, and ensuring nothing falls through the cracks.

Responsibilities

  • Manage multiple publishing and content projects simultaneously.
  • Organize and maintain project files, documents, and digital assets.
  • Coordinate the development of books, websites, videos, and other content.
  • Turn AI-generated content into structured, publish-ready documents.
  • Track project timelines and ensure deadlines are met.
  • Assist with document formatting and proofreading.
  • Coordinate with internal team members and external contributors.
  • Maintain organized documentation using Google Workspace and cloud storage.
  • Perform executive administrative tasks as needed.
  • Recommend process improvements to increase efficiency.
Requirements Must-Have
  • Previous experience as an Executive Assistant, Project Coordinator, Operations Coordinator, or similar role.
  • Exceptional organizational skills.
  • Excellent written English.
  • Strong attention to detail.
  • Experience using Google Workspace or Microsoft Office.
  • Comfortable learning new software and AI tools.
  • Ability to manage multiple priorities independently.
  • Strong documentation skills.
Nice-to-Have
  • Publishing or self-publishing experience.
  • Experience formatting books or long-form documents.
  • Knowledge of AI tools such as Gemini or ChatGPT.
  • Experience supporting entrepreneurs or content creators.
