Role Summary

We are looking for a highly detail-oriented Executive Operations Manager to serve as the operational right hand to the CEO across marketing, retail sales execution, and executive administration. Unlike a generalist EA or Operations Manager, this role demands a unique blend: trafficking marketing initiatives, managing EDI/retailer portals and invoicing, coordinating with agencies, and handling executive logistics with precision. This is a high-trust, high-visibility role for a candidate who excels in both strategic coordination and hands-on execution.

Key Responsibilities

  • Traffic marketing initiatives across PR, social media, CRM, wholesale, and agency partners
  • Maintain a master marketing calendar and product launch tracker
  • Ensure alignment across messaging, campaign timelines, and deliverables
  • Prepare concise executive summaries for CEO review
  • Convert strategic direction into clear briefs for internal and external partners
  • Track campaign KPIs and ensure reporting is delivered on time
  • Manage incoming retailer orders from national and independent accounts
  • Oversee EDI systems and retailer portals (e.g., RangeMe, SPS Commerce, retailer-specific portals)
  • Coordinate invoicing, ensure billing accuracy, track payment timelines and receivables
  • Liaise with fulfillment partners to confirm shipment timelines
  • Maintain retailer documentation and compliance requirements
  • Prepare sell-through and retail performance summaries
  • Track agency invoices and marketing-related expenses; coordinate with accounting on payments
  • Manage CEO calendar, scheduling, travel (flights, hotels, transportation), agendas, and post-meeting summaries

Required Qualifications

  • 4-8 years of experience in operations, marketing operations, sales operations, or executive support
  • Experience managing EDI systems and retailer invoicing (strongly preferred)
  • Strong project management skills across multiple concurrent workstreams
  • Excellent written communication and executive summary capabilities
  • Advanced organization and attention to detail
  • Experience working with marketing agencies or cross-functional marketing teams
  • Fully fluent in English
  • Ability to commit long-term and full-time

Preferred Qualifications

  • Background in CPG, retail, or beauty/wellness brands
  • Experience with retailer portals such as SPS Commerce, RangeMe, Faire, or specific retailer systems
  • Familiarity with Shopify, NetSuite, or QuickBooks for sales/finance reconciliation
