Executive Operations Manager
Persona is a recruiting and staffing company that hires exceptional people from 98 countries into full-time, long-term remote roles with the most ambitious companies on earth.
Our clients include Fortune 500 enterprises, fast-growing startups backed by Sequoia, Founders Fund, and Andreessen Horowitz, and high-performing companies of every size in between. We offer roles in project management, operations, finance, design, marketing, customer success, and more. Every hire is for a specific open position: one person, one dedicated client, built to last.
Every offer we make is for an open role with a single client — the kind of role that's almost impossible to find on your own: industry-leading pay set against your experience and skill, real career growth, and a stable seat at a serious company, working from home, anywhere in the world.
Persona was founded in 2018 by two Stanford graduates on a simple idea: talent is everywhere, but opportunity isn't. By recruiting globally for specific client roles, we've grown into one of the fastest-growing companies in the global staffing industry. Every applicant goes through the same steps, and each one is designed to let you show what you can actually do.
We hire people who care about the craft of their work, take ownership without being asked, and want to build a career rather than just hold a job. If that's you, and one of our open roles fits, we'd like to meet you.

Unlike a generalist EA or Operations Manager, this role demands a unique blend: trafficking marketing initiatives, managing EDI/retailer portals and invoicing, coordinating with agencies, and handling executive logistics with precision. This is a high-trust, high-visibility role for a candidate who excels in both strategic coordination and hands-on execution.

- Track campaign KPIs and ensure reporting is delivered on time
- Manage incoming retailer orders from national and independent accounts
- Oversee EDI systems and retailer portals (e.g., RangeMe, SPS Commerce, retailer-specific portals)
- Coordinate invoicing, ensure billing accuracy, track payment timelines and receivables
- Liaise with fulfillment partners to confirm shipment timelines
- Maintain retailer documentation and compliance requirements
- Prepare sell-through and retail performance summaries
- Track agency invoices and marketing-related expenses; coordinate with accounting on payments
- Manage CEO calendar, scheduling, travel (flights, hotels, transportation), agendas, and post-meeting summaries
Required Qualifications
- 4-8 years of experience in operations, marketing operations, sales operations, or executive support
- Experience managing EDI systems and retailer invoicing (strongly preferred)
- Strong project management skills across multiple concurrent workstreams
- Excellent written communication and executive summary capabilities
- Advanced organization and attention to detail
- Experience working with marketing agencies or cross-functional marketing teams
- Fully fluent in English
- Ability to commit long-term and full-time
Preferred Qualifications
- Background in CPG, retail, or beauty/wellness brands
- Experience with retailer portals such as SPS Commerce, RangeMe, Faire, or specific retailer systems
- Familiarity with Shopify, NetSuite, or QuickBooks for sales/finance reconciliation
Tools & Technologies
- EDI platforms (SPS Commerce, retailer portals), Shopify, NetSuite, QuickBooks, Google Workspace, Microsoft Office, Asana, Notion, Slack, Zoom, Klaviyo or HubSpot
Core Competencies
- Discreet right hand to the CEO
- Equally comfortable in marketing strategy and finance reconciliation
- Highly structured and follow-through driven
- Skilled at translating strategy into briefs and trackers
- Trustworthy with confidential commercial details
