Executive/Personal Assistant, Brand Operations & Growth
Job Summary We are looking for a highly capable Executive Assistant to help organize, grow, and monetize a fast-moving portfolio of creative and business ventures. This role goes well beyond calendar management — you will identify revenue opportunities, run outreach campaigns, manage research projects, and keep multiple initiatives progressing independently. The ideal candidate is a critical thinker with leadership experience, strong business instincts, and the confidence to make sound decisions without waiting for direction. Key Responsibilities Manage calendars, scheduling, reminders, email organization, and document management across multiple ventures Research and identify partnership, sponsorship, and booking opportunities, then run outreach and follow-up to secure them Build and maintain contact databases, opportunity trackers, and pipeline records Coordinate bookings and shoots, organize deliverables, and track payments through to receipt Conduct market, vendor, competitor, and pricing research to support a new product-based business launch Research business setup requirements, startup costs, and vendor comparisons, and present clear recommendations Build and maintain a goal framework that breaks annual objectives into quarterly, monthly, biweekly, and weekly actions Prepare a weekly performance review covering opportunities created, revenue influenced, costs avoided, and time saved Use data and analytics to evaluate what is working, flag what is not, and recommend adjustments to strategy Rebuild schedules and priorities on a fixed cadence, ensuring nothing stalls or falls through the cracks Triage incoming work by urgency, revenue impact, and required involvement, escalating only what genuinely needs a decision Mandatory Skills Proven experience as an executive assistant, operations coordinator, or business support professional Previous leadership experience and comfort taking ownership of projects end to end Strong research skills with the ability to source companies, contacts, and market data independently Experience with cold or warm outreach via email, including follow-up sequences and response tracking Confident with spreadsheets, trackers, and basic data analysis to measure performance Excellent written English and professional communication with external brands and partners Strong prioritization and project management skills across several concurrent workstreams Reliable, detail-oriented, and able to work independently with minimal supervision Sound judgment to make reasonable decisions when the manager is unavailable Preferred Skills Experience supporting a founder, creator, or personal brand Background in the beauty, fashion, or creative industries Familiarity with influencer partnerships, brand collaborations, or talent booking coordination Experience assisting with an e-commerce or product business launch, including supplier sourcing Working knowledge of project management and CRM tools such as Notion, Asana, Trello, Airtable, or similar Ability to manage multiple projects simultaneously and shift priorities without losing momentum Comfort building simple systems, trackers, and processes where none currently exist Why Join Us This is a rare opportunity to work closely with an ambitious entrepreneur across several growing ventures, with real influence over how the business is structured and where it goes next.
