The organization is currently seeking a highly organized and detail-oriented professional to join the Customer Service Operations team as a Cabin Crew Records & Administration Specialist . This key administrative role is instrumental in maintaining the integrity of crew records, ensuring regulatory compliance, and supporting the operational readiness of the airline's dedicated Cabin Crew members. Primary Responsibilities Crew Documentation and Compliance Management Diligently update and follow up on Annual Physical Examination (APE) results, including "Fit to Fly" Certificates and Medical Certificates, within the AIMS system. Ensure meticulous scanning and proper filing of all related medical and compliance documentation. Coordinate closely with the Human Resources Department (HRD) regarding maternity and sick leave attendance records and crew check-ins. Prepare and accurately encode APE request letters, official "Fit to Fly" Certificates, and formal correspondence for resigned Cabin Crew personnel. Assist with the necessary compilation and submission of regulatory manuals and ensure the timely distribution of updates to all relevant crew and administrative personnel, ensuring comprehensive compliance. Handle visa requirements, including managing Chinese Visa applications for Cabin Crew members. Database and Information Management Maintain and update comprehensive Cabin Crew information within the AIMS database, including essential details such as API registration, valid visa statuses, and bank particulars. Uniform and Equipment Logistics Oversee the distribution and conduct accurate monthly inventory counts of all crew uniforms and accessories. Ensure precise uniform deliveries and maintain a systematic filing system for all official receipts and acknowledgements. Liaise with the People Department to ensure the timely distribution of necessary uniforms and operational equipment. Administrative Support and Asset Control Manage “Fun Flight Prizes” documentation, including logging any damages and conducting weekly monitoring to mitigate losses and ensure proper asset control. Basic Qualifications and Professional Attributes Candidates must possess the following qualifications and characteristics: A completed Bachelor's degree is required, preferably in Psychology, Business Administration, Tourism Management, or a closely related field. A minimum of two (2) to four (4) years of administrative experience, ideally within the highly regulated airline or aviation industry, is preferred. Demonstrated intermediate to advanced proficiency in utilizing MS Office applications (Word, Excel, PowerPoint) is essential for success in this role. Must exhibit superior verbal and written communication skills coupled with strong interpersonal abilities, demonstrating the capacity to effectively manage and collaborate with diverse personalities. Must be highly organized, possess a keen attention to detail, and be adept at working efficiently and accurately within strict timelines and deadlines. Applicants must hold a valid work visa or legal authorization to work in the Philippines. This position is designated as an Individual Contributor role and is based in Pasay City, Metro Manila, operating under a flexible hybrid workplace arrangement.
