Home Based - Accounting Assistant with Data Entry

Responsibilities:

  • Create and Manage Projects in QuickBooks
  • Accurately create new projects and enter detailed estimates into QuickBooks, ensuring all data is complete, precise, and properly categorized to support seamless project tracking and reporting.
  • Invoice Follow-Up and Communication
  • Monitor outstanding invoices and proactively follow up on payments. Communicate clearly and professionally with both suppliers and clients regarding billing questions or discrepancies, maintaining thorough documentation of all interactions.
  • Accurate Invoice Entry and Number Management
  • Input supplier invoices into QuickBooks with a high degree of accuracy. Strong numerical skills and meticulous attention to detail are essential to prevent errors and maintain clean, reliable financial records.
  • Independent, Organized Problem-Solver
  • Work independently and think critically to identify solutions without constant oversight. Must be exceptionally organized, detail-oriented, and able to manage tasks efficiently while maintaining accuracy across all responsibilities.
  • Responsive and Efficient Email Management
  • Stay responsive throughout the workday and manage a large volume of emails with precision. Maintain organized email systems, prioritize messages effectively, and ensure timely, accurate responses.
  • Document Creation and File Management
  • Create Bill of Lading documents in Microsoft Word, locate Proofs of Delivery (PODs), and accurately combine multiple files using Adobe Acrobat. Strong attention to detail is required to ensure all documentation is complete, correct, and properly formatted.
Requirements:
  • Education : Bachelor’s degree in Accounting, Finance, or a related field.
  • Experience : Minimum of 3 years of accounting experience, particularly in accounts payable and receivable.
  • Language Proficiency : Excellent verbal and written English communication skills
  • Schedule : Able to work overnight/graveyard shifts in Philippine time or within U.S. operating hours
  • Technical Skills :
  • Advanced QuickBooks Online experience is required; proficiency in Microsoft Excel is essential.
