HubSpot Administration

  • Own the day-to-day configuration, governance, and maintenance of the HubSpot platform across Sales Hub, Marketing Hub, and associated integrations.
  • Manage user access, permissions, properties, pipelines, deal stages, and platform standards.
  • Monitor data quality, resolve issues, and enforce CRM hygiene across the contact and deal database.
  • Stay current with HubSpot product updates and proactively recommend improvements.
Sales CRM and Intake Pipeline Management
  • Configure and maintain sales pipelines, deal stages, task automation, and lifecycle stage workflows to support our intake team.
  • Build and manage automation for lead follow-up, closed-lost re-engagement, and disqualification workflows.
  • Support the intake team with CRM tooling, troubleshooting, and process improvement.
  • Manage phone system and third-party integrations (including call logging and conversation intelligence tools).
Marketing Automation and Campaigns
  • Design, build, and maintain automated workflows for lead nurturing, MQL follow-up, and patient journey communications.
  • Create and manage email marketing campaigns, including list segmentation, templates, A/B testing, and performance analysis.
  • Support the marketing team with landing pages, forms, and lead capture tooling within HubSpot.
Reporting and Analytics
  • Build and maintain dashboards and reports that give the intake, marketing, and leadership teams clear visibility of pipeline performance, campaign results, and key metrics.
  • Provide insights and recommendations based on CRM data to support commercial decision-making.
  • Track and report on metrics including lead volume, conversion rates, response times, and channel attribution.
Training and Documentation
  • Develop and maintain documentation for HubSpot processes, workflows, and user guides.
  • Provide training and support to internal users to drive adoption and best-practice usage.

About You

Experience and Qualifications
  • 3+ years of hands-on experience as a HubSpot specialist, CRM administrator, or equivalent role.
  • Proven experience configuring HubSpot Sales Hub and Marketing Hub, including workflows, sequences, custom properties, pipelines, and automation.
  • Experience building marketing automation campaigns and lead nurturing workflows.
  • Strong HubSpot reporting and dashboard skills, with the ability to translate data into clear business insights.
  • Experience managing third-party integrations with HubSpot (e.g. phone systems, call logging tools, or other SaaS platforms).
  • HubSpot certifications (e.g. HubSpot Marketing Software, Sales Hub, CRM Data Migration) are highly regarded.
Skills and Attributes
  • High level of technical proficiency with HubSpot; comfortable working independently without an implementation partner.
  • Strong analytical mindset with attention to data accuracy and process consistency.
  • Excellent written communication skills in English, with the ability to produce clear documentation and correspond confidently with senior stakeholders.
  • Self-directed and organised, with the ability to manage multiple workstreams in a fully remote environment.
  • A practical problem-solver who looks for pragmatic, scalable solutions rather than overengineered ones.
  • Previous experience in a healthcare, allied health, or services environment is advantageous but not essential.
