Import & Supply Chain Controller | WFH setup
Purpose of the role The purpose of this role is to ensure imported and locally supplied stock is planned, tracked, documented and received accurately, while maintaining compliance with customs, biosecurity and supplier requirements. The role gives the business reliable visibility of incoming stock, identifies delays and compliance risks early, and supports operational continuity across Purchasing, Sales, Finance and Warehousing. It is a detail-focused, hands-on role at the centre of operations, supporting and coordinating the end-to-end flow of stock from the supplier to warehouse and keeping all affected departments informed.
Key Responsibilities
1. Import & Logistics Coordination- Coordinate international and domestic shipments.
- Follow up suppliers for cargo-ready dates.
- Arrange bookings with freight forwarders.
- Track shipments from supplier to warehouse.
- Review shipping documents for accuracy.
- Ensure warehouses are prepared to receive stock.
- Update shipment status in company systems.
- Process freight invoices and resolve discrepancies.
- Communicate shipment updates to relevant teams.
- Check import requirements using BICON.
- Ensure shipments meet Australian customs and biosecurity rules.
- Verify permits, certificates, and supplier documentation.
- Monitor expiring permits and certificates.
- Work with customs brokers and DAFF on compliance matters.
- Help prevent shipment delays, inspections, or border holds.
- Monitor shipment milestones from order to warehouse delivery.
- Track supplier performance against committed delivery dates.
- Identify delays early and communicate impacts.
- Maintain accurate shipment records and reporting.
- Closely manage urgent or high-priority shipments.

- Manage stock replenishment from local suppliers.
- Raise and follow up purchase orders.
- Monitor inventory levels and reorder points.
- Prevent stock shortages.
- Forecast future stock requirements.
- Manage stock transfers between locations.
- Track slow-moving and ageing inventory.
- Alert Sales to potential stock shortages.
- Receive stock into company systems.
- Reconcile received goods against purchase orders and invoices.
- Investigate shortages, damages, or discrepancies.
- Process transfers between warehouses and branches.
- Maintain accurate inventory costing and valuation.
- Work closely with Sales, Purchasing, Finance, Quality, and Warehouse teams.
- Provide clear and timely updates.
- Participate in meetings and operational planning.
- Share knowledge and maintain process documentation.
- Escalate risks and issues when necessary.
- Build strong relationships with suppliers and logistics partners.
- Provide backup support during staff absences or busy periods.
- Handle enquiries from internal and external stakeholders.
- Assist with ad-hoc operational and administrative tasks.
- At least 3 years minimum experience in import / export operations or logistics
- Experience in Freight-forwarding and international shipping knowledge (sea and air, LCL and FCL)
- Understanding of Australian customs and biosecurity requirements as nice to have
- BICON and DAFF awareness, and the ability to apply import conditions in practice
- High attention to detail, particularly when checking shipping documents.
- Ability to read and verify commercial invoices, packing lists, bills of lading / air waybills,
- Strong Excel and reporting skills.
- Ability to manage competing priorities and meet deadlines.
- Strong written and verbal communication with suppliers and internal teams, including across time zones.
- Experience with CIN7, Xero, SharePoint, PowerApps or similar systems
