Legal Executive Assistant (Australian Experience Required)
About the Role
We are seeking an experienced Legal Executive Assistant to provide dedicated administrative and legal support within a busy boutique commercial law firm. This role is ideal for someone with previous experience working in an Australian law firm who can confidently manage client communications, legal administration, and practice support with minimal supervision.The successful candidate will play a key role in ensuring the smooth day-to-day operation of the practice, allowing the Principal Lawyer to focus on delivering high-quality legal services.
Key Responsibilities:
- Provide dedicated executive and administrative support to the Principal Lawyer.
- Manage incoming emails, prioritise urgent matters, and respond where appropriate.
- Handle new client enquiries and ensure timely follow-up with prospective clients.
- Open new matters and maintain accurate electronic and physical client files.
- Manage the Principal Lawyer's diary, appointments, meetings, and reminders.
- Prepare engagement letters, costs agreements, and other standard legal documents.
- Draft legal correspondence using precedents and solicitor instructions.
- Format, proofread, and prepare legal documents to a high professional standard.
- Maintain regular communication with clients and provide updates on ongoing matters.
- Liaise professionally with clients, barristers, courts, and other third parties.
- Monitor outstanding client information and follow up as required.
- Assist with billing, time recording, invoicing, and trust accounting administration where required.
- Monitor critical dates, deadlines, and task reminders to ensure matters progress efficiently.
- Perform conflict checks and assist with client onboarding procedures.
- Provide legal administrative support across commercial, franchising, construction, and dispute resolution matters.
- Assist with document execution, filing, and document management.
- Perform other administrative and practice support duties as required.
- Previous experience working in an Australian law firm is essential.
- Minimum 3 years' experience as a Personal Assistant, Legal Assistant, Legal Secretary, or Legal Administrator within an Australian legal practice.
- Demonstrated experience supporting solicitors or partners in a fast-paced legal environment.
- Strong understanding of Australian legal administration, workflows, and client service standards.
- Excellent written and verbal English communication skills.
- Exceptional organisational skills with strong attention to detail.
- Ability to manage multiple priorities while maintaining accuracy.

- Ability to work independently and hit the ground running with minimal supervision.
