MYOB Admin, Invoicing Assistant
Job Description:
- Prepare and process customer invoices accurately using MYOB
- Check customer details, product codes, quantities, pricing, GST, freight and supporting documentation
- Assist with basic bookkeeping, accounts receivable, payment allocation, account reconciliation and customer account enquiries
- Review transactions and documents for errors, duplicates, discrepancies, incomplete information or unusual figures
- Maintain accounting, customer and transaction records
- Calculate and review freight charges using courier websites and freight platforms
- Enter consignment and delivery information and assist with delivery tracking and freight enquiries
- Communicate with freight providers when required
- Monitor back-orders and release them when stock becomes available
- Provide general administrative support and manage phone overflow through the company VoIP softphone
- Handle inbound and outbound customer calls professionally
- Respond to routine customer and business emails
- Identify opportunities to upsell or introduce additional products
- Maintain documents and records using Microsoft 365, including Excel, Word and Outlook
- Assist with reporting and repetitive administrative tasks
- Conduct online and Google research to locate and verify operational information
- Collaborate with the three-person administration team and take ownership of invoicing and assigned administrative workloads
- Follow company systems, processes and procedures and escalate issues appropriately
- Use Excel for sorting, filtering, formulas, lookups and discrepancy checking
- Use approved AI tools such as ChatGPT or Claude for drafting, research, summarisation and Excel assistance while protecting confidential information
Requirements:
- Philippines-based candidates
- 2–3 years of relevant experience in bookkeeping, accounts administration, invoicing or a similar role
- Strong practical understanding of accounting and bookkeeping processes
- Proven hands-on experience with MYOB is essential
- Willingness to complete a practical MYOB assessment during recruitment
- Australian bookkeeping or accounting experience, particularly accounts receivable, bank or customer account reconciliation, highly regarded
- Strong numerical and analytical skills
- Experience in order processing, inventory, wholesale, freight or logistics administration highly regarded
- Demonstrated upselling and customer engagement skills
- Strong Microsoft Excel skills, including formulas, lookups and spreadsheet-based data checking
- Proficiency in Word and Outlook
- Excellent spoken and written English
- Highly organised and detail-oriented
- Good common sense and practical problem-solving skills
- Comfortable working independently in a remote environment
- Strong time management, self-motivation and reliable internet connectivity
- Strong online and Google research skills
- Experience using ChatGPT, Claude or other AI productivity tools considered an advantage
- Must disclose any existing ongoing roles or client work
