<span><strong><span>The snapshot</span></strong></span><br><p><span>Staffstream is hiring an Operations Manager for a leading global commercial real estate agency operating across commercial sales, leasing, and property management in the Inner-Sydney market. The team is small: four agents, a creative designer, and an in-house analyst, working at a high pace across multiple live campaigns, listings, and client relationships at any given time.</span></p><br><p><span>This role is the operational anchor of the team: managing CRM data, running marketing campaigns, coordinating listings across portals, and preparing agreements and documentation, so the agents can stay focused on winning and closing deals. A structured handover from the outgoing team member (who's moving into another role within the wider business) means a genuine training pathway into the team's systems and preferences from day one. This role is open to candidates based in the Philippines.</span></p><br><p> </p><br><span><strong><span>What you will actually do</span></strong></span><br><p><strong><span>CRM management and campaign administration</span></strong></p><br><ul><br><li><span>Manage CRM contacts, profile cleaning, and enquiry tagging within Surga, keeping records accurate and well-organized.</span></li><br><li><span>Tag enquiries to the correct campaigns, update contact information, and keep the CRM database clean and current.</span></li><br><li><span>Send campaigns live through Surga and connected portals, managing the end-to-end campaign launch process.<br></span></li><br></ul><br><br><p><strong><span>Listings, portals, and e-brochures</span></strong></p><br><ul><br><li><span>Add and manage commercial property listings across REA web portals via the agent admin backend, keeping pricing, descriptions, and media accurate and to standard.</span></li><br><li><span>Create and distribute e-brochures through Surga for active campaigns.</span></li><br><li><span>Create and manage due diligence links through Dropbox, with access permissions configured correctly for each transaction.<br></span></li><br></ul><br><br><p><strong><span>Marketing budgets, bookings, and supplier coordination</span></strong></p><br><ul><br><li><span>Prepare marketing budgets for campaigns and manage the booking of marketing placements with Campaign Track and relevant media suppliers, tracking spends and confirming delivery.</span></li><br><li><span>Coordinate with suppliers and portals to keep marketing activity on schedule, managing changes, extensions, or amendments as needed.</span></li><br><li><span>Prepare and distribute campaign updates and performance reports for clients and agents using Surga, portal analytics, and Canva.<br></span></li><br></ul><br><br><p><strong><span>Agency agreements and document management</span></strong></p><br><ul><br><li><span>Prepare agency agreements, conjunction agreements, and management agreements using the firm's templates, accurately and on time.</span></li><br><li><span>Issue documents for electronic signing through DocuSign, managing the workflow through to completion and filing executed documents correctly.<br></span></li><br></ul><br><br><p><strong><span>Submissions, IMs, and template management</span></strong></p><br><ul><br><li><span>Coordinate and maintain templates for submissions and Information Memoranda with the marketing team, ready for agent use within required timeframes.</span></li><br><li><span>Manage the team's document and template library, keeping materials current, version-controlled, and accessible.</span></li><br><li><span>Support agents with ad hoc operational and administrative requests as they come up.<br></span></li><br></ul><br> <br><br><span><strong><span>What you need to bring</span></strong></span><br><ul><br><li><span>Demonstrated experience in a commercial real estate environment.
