About the Client The client is a legal-support services company that works primarily with personal injury law firms and their clients. The company provides advocacy and administrative support related to Independent Medical Examinations (IMEs), including appointment coordination, client assistance, examination monitoring, documentation, and reporting. Its services help attorneys maintain accurate records and support their clients throughout the personal injury claims process. Job Summary We are looking for a detail-oriented and highly organized Part-Time Data Entry Coordinator / Executive Assistant to join our team. This role combines data entry, quality control, calendar management, and administrative support. The ideal candidate is comfortable handling repetitive, detail-focused tasks while maintaining a high level of accuracy and efficiency. Strong communication skills and previous virtual assistant experience are essential, as you will work closely with internal team members and developers to ensure data integrity and smooth operations. Responsibilities - Review and verify appointment requests to ensure accuracy and completeness. - Perform accurate, high-volume data entry while maintaining exceptional attention to detail. - Verify, organize, and manage calendar entries to ensure scheduling accuracy. - Upload and organize relevant documents within the company's system. - Identify, document, and report system bugs or issues. - Communicate with developers to provide clear bug reports, updates, and follow-up information. - Manage a high volume of emails and internal communications while maintaining professionalism, accuracy, and timely responses. Qualifications - Previous experience working as a Legal Admin Assistant/ Paralegal or Legal Executive Assistant is required. - Experience working with personal injury law is an advantage. - Strong attention to detail with a commitment to accuracy. - Experience with data entry and quality assurance/quality control processes. - Proficiency in calendar management and appointment verification. - Experience identifying, documenting, and reporting software bugs or system issues. - Excellent written communication skills with the ability to communicate clearly and professionally. - Strong organizational and time management skills. - Ability to prioritize tasks and work independently in a remote environment. - Comfortable performing repetitive, detail-oriented work while maintaining a high level of productivity and accuracy. - Tech-savvy and comfortable learning and navigating new software, systems, and online tools.
