Schedule: Monday–Friday | 7:00 AM–11:00 AM Central Time (CST)
Hours: Approximately 20 hours per week
Rate: $5.00–$6.00 USD per hour, depending on experience
Preferred Candidate: Filipino Virtual Assistant

Position Overview

Our client is seeking a reliable, detail-oriented, and proactive Medical Virtual Assistant with psychiatric or behavioral health experience.

The ideal candidate has a strong healthcare administrative background and hands-on experience working with Electronic Health Record (EHR) systems, preferably Tebra. Experience with Itizo or a similar behavioral health/medical EHR platform will also be considered.

This role will primarily focus on chart and note preparation, EHR support, behavioral health documentation, administrative tasks, and marketing/content support.

Key Responsibilities

Chart & Note Preparation
  • Prepare patient charts and clinical notes before scheduled appointments.
  • Review and organize relevant patient information for provider use.
  • Assist with clinical documentation and chart preparation.
  • Ensure patient records and documentation are complete, accurate, and properly organized.
  • Support behavioral health documentation workflows.

EHR Support & Administrative Documentation
  • Manage and maintain patient records within the Tebra EHR system.
  • Assist with EHR documentation and administrative chart management.
  • Update patient information and documentation as needed.
  • Maintain accurate and organized electronic medical records.
  • Handle confidential patient information in accordance with applicable privacy and HIPAA requirements.
  • Provide additional administrative support as assigned.

Marketing & Content Support
  • Create and update blog posts, newsletters, and website content.
  • Assist with content creation for Facebook and Telegram.
  • Help maintain consistent and professional online content for the practice.

Communication Support
  • Use communication and CRM platforms such as Slack, Salesforce, WhatsApp, and Skype.
  • Handle inbound and outbound phone calls during a later phase of the role. Phone responsibilities will not begin immediately.
Required Qualifications
  • Experience using Tebra is strongly preferred.
  • Candidates with substantial experience using similar medical or behavioral health EHR systems are also encouraged to apply.
  • Previous experience working in a psychiatric or behavioral health practice is highly preferred.
  • Strong medical or healthcare administrative background.
  • Experience preparing patient charts, clinical documentation, or medical records.
  • Strong understanding of patient confidentiality and HIPAA requirements.
  • Excellent written and verbal English communication skills.
  • Ability to understand and follow instructions with minimal supervision.
  • Highly organized with exceptional attention to detail.
  • Reliable, responsive, dedicated, and proactive.
  • Strong work ethic and commitment to producing accurate, high-quality work.
  • Comfortable learning new systems and workflows quickly.
  • Filipino Virtual Assistants are preferred based on the client's communication and team-fit requirements.

Preferred Qualifications
  • Medical scribe experience.
  • Experience with Itizo or a comparable behavioral health EHR.
  • Previous administrative experience supporting psychiatrists, behavioral health providers, or other healthcare professionals.
  • Experience creating healthcare-related blogs, newsletters, website updates, or social media content.

This Role May Not Be a Good Fit If You:
  • Have no experience with EHR systems such as Tebra, Itizo, or comparable healthcare platforms.
  • Have no healthcare, medical, or behavioral health administrative experience.
  • Are not comfortable preparing patient charts, clinical notes, or medical documentation.
  • Have difficulty maintaining accuracy and attention to detail.
  • Require extensive supervision to complete routine responsibilities.
  • Have inconsistent attendance, responsiveness, or availability.
  • Are uncomfortable handling confidential patient information or following HIPAA/privacy requirements.

Ideal Candidate

We are looking for someone who is dependable, organized, proactive, detail-oriented, and comfortable working independently. Because accurate documentation is essential in behavioral healthcare, the successful candidate should take ownership of their work and carefully review information before completing tasks.

Experience with Tebra and behavioral health workflows will be a significant advantage.

Basic Requirements
  • Must speak and write English clearly and professionally.
  • Must have relevant work experience.
  • Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding (mandatory).
  • Must be available to attend video meetings with camera on when required.
