About the Role:
We're hiring a seeking a Publishing & Digital Media Virtual Assistant to support day-to-day operations across its portfolio of publications and content marketing programs. This is a generalist publishing support role that spans the full production ecosystem: from coordinating ad materials and supporting the production team, to building and deploying email newsletters, managing website content, and maintaining Oregon Media's social media presence.

This is not a single-function role. The ideal candidate is organized, communicative, and comfortable switching between creative, operational, and administrative tasks across multiple publications and deadlines simultaneously. Experience in a publishing, media, or marketing agency environment is strongly preferred.

Key Responsibilities

AD TRAFFIC & PRODUCTION COORDINATION

  • Coordinate with advertisers and the internal production team to gather required ad materials (files, specs, approvals) on deadline
  • Traffic ad materials through the production workflow, ensuring correct files are received, approved, and delivered to the appropriate team
  • Maintain ad run sheets and track material status across multiple publication issues
  • Communicate directly with advertisers via email to request, follow up on, and confirm materials
  • Flag missing or non-compliant materials early to avoid production delays
  • Support the production schedule by keeping trafficking status current and visible to the team

NEWSLETTER MANAGEMENT

  • Gather newsletter content from editorial, advertising, and marketing stakeholders per issue
  • Build email newsletters using the designated email platform (e.g. Mailchimp, Constant Contact, or similar)
  • Proof and QA newsletter content prior to deployment — check links, formatting, images, and copy
  • Schedule and deploy newsletters to the appropriate subscriber lists on time
  • Track open rates, click rates, and basic performance metrics; report to the team as directed
  • Maintain subscriber lists and support list hygiene as needed

WEB CONTENT MANAGEMENT

  • Upload and publish content to the Oregon Media website(s) using WordPress or the designated CMS
  • Add and update editorial content, advertiser listings, event information, and media files per editorial direction
  • Ensure content is properly formatted, tagged, and optimized for readability and basic SEO
  • Support digital edition uploads and online publication workflows
  • Coordinate with internal stakeholders to obtain approved copy and assets before publishing
  • Perform routine content audits and flag outdated or broken items for review

SOCIAL MEDIA MANAGEMENT

  • Manage and maintain Oregon Media's social media accounts (Facebook, Instagram, and others as directed)
  • Create and schedule posts per an approved content calendar, using branded templates and provided assets
  • Source and prepare content from existing editorial and marketing materials for social distribution
  • Monitor comments, messages, and mentions; escalate engagement as directed
  • Support social media reporting — compile basic performance data for team review
  • Coordinate with the editorial and design team to ensure visual consistency across channels

JUNIOR GRAPHIC DESIGN SUPPORT

  • Create and adapt simple branded graphics for social media, newsletters, and web using Canva or Adobe tools
  • Resize and reformat existing ad creative and editorial assets for use across channels
  • Maintain an organized library of brand assets, templates, and approved creative files
  • Assist with basic design tasks as assigned — not expected to replace a senior designer, but able to produce clean, on-brand output independently

GENERAL ADMINISTRATIVE & OPERATIONAL SUPPORT

  • Maintain project and production tracking in ClickUp or the designated project management platform
  • Support scheduling, follow-up, and coordination communications with internal teams and external contacts
  • Assist with data entry, contact list management, reporting, and file organization as directed
  • Support the broader team with day-to-day operational tasks during busy production cycles

Qualifications & Requirements

REQUIRED

  • 2+ years of experience in a publishing, media, marketing agency, or related operational support role
  • Demonstrated experience managing email newsletters end-to-end — content gathering, building, proofing, and deploying
  • Experience uploading and managing content in WordPress or a comparable CMS
  • Proficiency with social media management across Facebook and Instagram; scheduling tools a plus
  • Strong written and verbal English communication skills — this role involves direct outreach to advertisers and internal stakeholders
  • Highly organized with the ability to manage multiple concurrent deadlines across different publications or projects
  • Comfortable in a fast-paced production environment with shifting priorities
  • Ability to work independently with minimal supervision while keeping the team informed and updated

PREFERRED

  • Experience in a publishing production environment — familiarity with ad trafficking, proofing workflows, insertion orders, or production schedules
  • Proficiency with Canva; experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator) a strong plus
  • Familiarity with email platforms such as Mailchimp, Constant Contact, or similar ESP
  • Experience with ClickUp, Asana, or a comparable project management tool
  • Exposure to Magazine Manager, Broadstreet, or similar ad management / publishing platforms
  • Basic SEO awareness and experience with WordPress page building or Elementor
  • Prior experience supporting multiple publications or client accounts simultaneously
