Gates Bookkeeping is a growing US-based bookkeeping firm looking for one exceptional person to grow with us long-term. We're not looking for the cheapest option — we're looking for the right person.

We offer a guaranteed monthly base, per-client bonuses as we grow, paid time off, quarterly performance bonuses, and long-service milestone rewards. Most importantly, we treat our team like professionals — because that's what you are.

ABOUT GATES BOOKKEEPING

Gates Bookkeeping is a San Diego-based bookkeeping firm specializing in small business financial management. We handle monthly bookkeeping, reconciliations, financial reporting, payroll, AR, AP, and sales tax for clients across the US.

Our operation is built on professional systems: QuickBooks Online, Google Drive, SignWell for e-signatures, and a fully automated client onboarding pipeline. You'll work inside a clean, organized environment — no chasing disorganized files or unclear instructions.

We currently serve 1 client and are actively growing. This is an early opportunity to be part of something from the ground floor.

WHAT YOU'LL DO

You handle the books. We handle the clients. That's the model.

Monthly bank and credit card reconciliations in QuickBooks Online

Transaction categorization and coding per our chart of accounts

Accounts Payable and Accounts Receivable support as assigned

Monthly financial report preparation (P&L, Balance Sheet, Cash Flow)

Flagging unusual or uncategorized transactions for review

Completing our monthly closing checklist for each assigned client

Payroll recording and reconciliation as assigned

You will never communicate directly with our clients. All client-facing work is handled by us. Your job is to deliver clean, accurate books by the 10th of each month — every month.

WHAT WE OFFER

Compensation:

Monthly base guarantee: $300–400/month starting

Per-client bonus for every additional client above your base — your income grows as we grow

Quarterly performance bonus when you hit all delivery and quality targets

One-time new client onboarding bonus each time a new client is assigned to you

Benefits:

5 paid vacation days per year + 3 paid sick/emergency days

Long-service milestone bonuses at 6 months, 1 year, 2 years, and 3 years

Formal annual compensation review

Work Environment:

Clean, organized Google Drive folder structure for every client

Direct access to Brandon (the owner) — no corporate hierarchy

Async-friendly — set your own hours as long as deadlines are met

No cold clients, no chasing information — we handle all of that before your work begins

WHAT WE'RE LOOKING FOR

Required:

QuickBooks Online experience — at least 2 years handling US small business books

Strong understanding of US GAAP and general bookkeeping principles

Excellent English written communication — clear, professional, responsive

Reliable internet and a secure, dedicated work device

Upwork Job Success Score of 85% or higher

Available to deliver work by the 10th of each month, every month

Strongly Preferred:

QuickBooks Online ProAdvisor certification

Experience with US payroll reconciliation

Experience with AR, AP, and sales tax filing support

Google Drive and Google Workspace proficiency

Based in the Philippines (preferred for time zone and communication)
