Real Estate Leasing Coordinator
Job Description:
- Build and refresh vacancy listings in AppFolio; confirm Zillow and partner syndication is live on every unit.
- Post and refresh listings on Facebook Marketplace, MHVillage, and Craigslist; remove stale listings promptly.
- Maintain listing copy, photo order, and unit-detail accuracy.
- Flag pricing triggers when a unit hits 15 and 22 days on market, with a recommendation.
- Respond to all inbound leads within 5 minutes during business hours.
- Run pre-qualification questions on every lead.
- Schedule showings and self-showings via ShowMojo; log all activity in AppFolio.
- Execute the lead-to-tour-to-application follow-up cadence.
- Process applications, run tenant screening, and verify income, employment, and rental history.
- Request and chase missing documents; assemble complete application files.
- Present completed files with a recommendation.
- Generate lease documents, send for e-signature, and collect deposits and first month’s rent in AppFolio.
- Prepare move-in packets, enable the resident portal, and coordinate key/access logistics.
- Trigger the move-in inspection task to the on-site team.
- Run the automated 90/60/30 renewal outreach sequence.
- Draft renewal offers per manager-set terms; track responses.
- Report renewal rate against target.
- Pull weekly and monthly dashboards: occupancy, days on market, lead response time, renewal rate, application throughput.
- Report by exception — flag deviations, not noise.
- Investor / owner update execution — recurring, templated reports.
- Eviction administration support — notice preparation, attorney coordination, and file assembly. No legal decisions.
Requirements:
- At least 3 years of proven experience as a Real Estate Coordinator or Real Estate Virtual Assistant
- At least 3 years of experience in the Real Estate industry
- Excellent English communication skills, both written and verbal ( at least B2 level)
- Solid organizational skills
- Excellent time management skills
- Familiarity with current technologies, like desktop sharing, cloud services and VoIP
- Experience with word-processing software and spreadsheets (e.g. MS Office)
- Knowledge of online calendars and scheduling (e.g. Google Calendar)
- Excellent phone, email, and instant messaging communication skills
- Tech-savvy
- Proactive attitude
- Able to work on a graveyard shift
