Remote Bookkeeping / Xero Reconciliation Assistant (Full-Time, Long-Term)
About the Role We're hiring a detail-oriented, reliable Remote Bookkeeping Assistant to work directly with an Australian accounting firm that helps its clients manage and reconcile their business finances in Xero. This is a genuine long-term opportunity — not a short-term contract — for someone who wants stability and to grow within a small, supportive team. You'll be working closely with the Australian accountant and their clients, so clear communication, strong attention to detail, and trustworthiness with sensitive financial information are essential. Bonus: Philippines time (PHT) is the same timezone as Perth, Western Australia (AWST, UTC+8) — no overnight shifts or awkward overlap required. What You'll Be Doing Performing day-to-day bank reconciliations in Xero across multiple client accounts Coding and categorising transactions accurately Matching invoices, receipts, and payments Identifying and flagging discrepancies for review, including reviewing previously entered transactions and suggesting corrections where something looks miscoded or wrong Maintaining clean, well-organised records within Xero Communicating clearly with the Australian team via Microsoft Teams about queries or outstanding items Following the firm's data security and confidentiality procedures at all times (see below) What We're Looking For Excellent written and spoken English — you'll be communicating directly with the Australian team and, at times, clients Experience with Xero strongly preferred (Xero-certified is a plus) — we're open to training a strong candidate who's a fast learner and has solid general bookkeeping fundamentals Understanding of Australian GST law as it applies to reconciliation (e.g. correctly identifying GST vs. non-GST transactions, BAS-relevant coding) Comfortable with numbers, reconciliations, and financial recordkeeping Genuine attention to detail and a sense of ownership — we're not looking for someone who just clicks "reconcile" and moves on. We want someone who actually looks at what they're reconciling, notices when something seems off (e.g. a duplicate charge, an unusual amount, a transaction miscoded to the wrong account, or a pattern that doesn't add up), and speaks up about it — including suggesting corrections to previously entered data when something looks wrong, rather than just leaving it as-is Good judgment on when to ask vs. when to act — comfortable saying "I'm not sure about this one, can you check?" rather than guessing on ambiguous transactions. We'd rather you ask a good question than confidently get it wrong Consistent, documented process — follows the same reconciliation approach every time, and can explain why something was coded a certain way if asked Professional, clear client-facing communication — you'll be visible in the client's Xero file and on Teams, so a calm, clear, non-defensive communication style matters, especially when questions come up about your work Reliable internet connection, a suitable working device, and a private, secure workspace Able to work Australian business hours consistently Trustworthy and comfortable following strict data-handling and confidentiality protocols, since this role involves access to clients' financial data Pay & Progression Trial period: AUD $5/hour, 2 weeks (approx. 40 hours total), to assess fit Permanent role: If the trial goes well, this becomes an ongoing full-time position — rate and bonus structure will be discussed and agreed at that point Important — Data Security & Confidentiality Requirements Because this role involves direct access to clients' Xero accounts and financial data, the following are required as a condition of employment: Signed confidentiality / NDA agreement before access is granted No storing of client data on personal devices, personal cloud storage, or personal email Two-factor authentication enabled on all work logins Use of a dedicated or secured device and, where required, a company-approved VPN Compliance with the firm's data handling policy at all times Understanding that access is role-based and monitored via Xero's audit trail Time tracked and work verified via Hubstaff (already used across our remote team), which includes periodic screenshots of your screen while clocked in to confirm the work being done — this is standard practice for our remote team and applies to this role How to Apply Please include: A brief cover note on your bookkeeping/reconciliation experience Your experience level with Xero (or willingness to be trained) Your available start date and confirmation you can work Australian business hours
