Role Overview

We are seeking a detail-oriented Construction Administrator to support the commercial and procurement functions of our residential housing developments.

The successful candidate will be responsible for reviewing supplier invoices, verifying delivery dockets, checking quantities and rates, maintaining purchasing records, and ensuring that materials and subcontractor costs are correctly charged to projects before payment approval.

The role is critical in ensuring cost control, preventing overcharging, and maintaining accurate project expenditure records across multiple residential construction sites.

Key Responsibilities

Invoice Verification

  • Review all supplier invoices before payment approval.
  • Match invoices against delivery dockets and purchase orders.
  • Verify that quantities invoiced match quantities delivered.
  • Confirm that invoiced rates match agreed supplier pricing.
  • Identify discrepancies and query suppliers where necessary.
  • Maintain records of approved and disputed invoices.
Delivery Docket Management
  • Collect delivery dockets from site managers and site teams.
  • Ensure all deliveries are supported by signed delivery dockets.
  • Verify that materials delivered correspond with invoiced materials.
  • Organise and file delivery records by project and supplier.
  • Maintain digital records of all delivery documentation.
  • Assist management in controlling purchasing costs.
  • Produce reports on material expenditure and supplier performance.
  • Verify completed works against approved valuations.
  • Maintain records of subcontractor contracts and rates.
BCAR Document Control
  • Collect, organise, and maintain all project documentation required for BCAR
compliance.
  • Obtain certificates, inspection records, test reports, product certifications, CE documentation, and Declarations of Performance (DoPs) from site teams, subcontractors, suppliers, and consultants.
  • Ensure all compliance documentation is filed within the correct project and dwelling folders.
  • Maintain BCAR trackers identifying outstanding documentation and follow up with responsible parties to ensure timely submission.
  • Organise photographic records of construction stages and inspections.
  • Assist the Assigned Certifier, Architect, and Engineers by providing requested documentation during inspections and at project completion.
  • Prepare and maintain dwelling handover files and completion packs to support smooth project certification and handover.
General Administration
  • Maintain organised digital filing systems.
  • Assist project managers and quantity surveyors with administration tasks.
  • Support procurement and commercial teams with record keeping.
  • Ensure all project expenditure records are accurate and up to date.
