Clear Dental Group is a growing dental organisation operating nine modern dental clinics across Sydney, Australia. Our practices provide a broad range of general, cosmetic and advanced dental services, including dental implants, Invisalign, full-arch rehabilitation and preventative dentistry. We are seeking a reliable, organised and professional Remote Dental Practice Coordinator to support our clinics with patient phone calls, appointment bookings and general administrative duties.This is a permanent work-from-home position suited to someone with previous experience in a dental clinic, dental reception, dental assisting or healthcare administration.
About the Role
You will work remotely as part of our central administration team and assist our Sydney clinics with incoming and outgoing telephone calls, appointment management, payment administration, reporting and general practice support. You will communicate directly with patients, dentists, clinic managers and administrative staff. The successful candidate must be confident speaking English, comfortable handling telephone enquiries and able to work accurately with sensitive patient and financial information.Working hours will generally align with Sydney, Australia business hours, including some early morning or weekend shifts where required.
Key Responsibilities
Your duties may include:- Answering incoming patient telephone calls in a warm and professional manner
- Booking, confirming and rescheduling dental appointments
- Responding to general patient enquiries regarding appointments, clinic locations and services
- Making outbound calls to confirm appointments and follow up patient enquiries
- Assisting with patient recalls and reactivation campaigns
- Processing and following up payments, payment plans and outstanding accounts
- Collecting and organising marketing and patient-enquiry data
- Preparing daily, weekly and monthly KPI reports
- Compiling clinic performance, appointment and conversion data
- Assisting with payroll preparation, timesheet checking and staff attendance records
- Entering information accurately into dental practice-management and reporting systems
- Supporting clinic managers with general administrative duties
- Maintaining strict confidentiality of patient, employee and business information
- Assisting with other operational projects as required
Skills and Experience
To be successful in this role, you should have:- Previous experience working in a dental practice
- An understanding of dental terminology, common dental procedures and appointment types
- Experience in dental reception, patient coordination, dental assisting or practice administration
- Excellent spoken and written English and Chinese
- A clear, confident and professional telephone manner
- Strong attention to detail and data-entry accuracy
- Good numerical and spreadsheet skills
- Experience using Microsoft Excel, Google Sheets or similar reporting tools
- The ability to manage multiple tasks and follow established procedures
- Strong organisational and time-management skills
- The ability to work independently while remaining accountable to the wider team
- A professional and patient-focused attitude
