About The Role As a Sales Operations Support, you will play a key role in keeping our client's sales process running smoothly by providing operational and administrative support that enables the commercial team to respond quickly and efficiently. Your work will help accelerate the sales cycle by coordinating quotes, managing opportunities, and collaborating with cross-functional teams to deliver an exceptional customer experience. This role is instrumental in driving operational excellence, supporting business growth, and empowering the sales team to focus on building strong customer relationships. Responsibilities Daily Sales Operations - Review open opportunities in NetSuite and identify the next steps required to advance them - Enter and maintain opportunity information in NetSuite on behalf of sales representatives, particularly when they are traveling or engaged with customers - Prepare and coordinate quotes to enable sales representatives to respond to customers promptly - Request freight rates from the logistics team and gather any additional costs, such as packaging, required to finalize a quote - Coordinate with the procurement team to obtain product costs and initiate next steps once costs are received - Obtain and organize product documentation, including safety data sheets, certificates of analysis, and specifications, and distribute these to customers upon request - Monitor opportunities as they progress through the quoting process, follow up on outstanding requirements, and notify sales representatives when quotes are ready Support & Analysis - Assist in sending finalized customer quotes as directed by the sales representative - Support customer communications, including price increase notifications and routine follow-ups - Review weekly sales reports and identify discrepancies between forecasted and actual performance - Partner with the Business Development Manager on reporting, sales forecasting, and attrition tracking - Provide proactive follow-up on quoted opportunities pending customer response - Administrative Assistant tasks such as booking flights, accommodations, meetings, etc. Project & Process Improvement - Contribute to the development and documentation of Standard Operating Procedures for sales operations - Identify and recommend opportunities for process improvement and workflow optimization Competencies And Qualifications Must-Have - 2 - 5 years of experience in Sales Operations, Sales Support, Sales Coordination, or a similar administrative role. - Experience supporting multiple stakeholders in a fast-paced environment. - Proven ability to manage multiple priorities while maintaining accuracy and attention to detail. - Experience using NetSuite or a similar CRM/ERP platform (NetSuite experience is highly preferred). - Proficiency in Microsoft Excel, including pivot tables, conditional formatting, and data organization. - Comfortable using Microsoft Outlook, Teams, and SharePoint. - Quick to learn new software platforms and productivity tools. - Understanding of supply chain processes, freight coordination, and pricing structures. Nice-to-Have - Background in the chemical industry, manufacturing, oil and gas, industrial distribution, supply chain, or logistics. - Exposure to or willingness to learn how to work with Certificates of Analysis (COAs), Safety Data Sheets (SDS), and similar documentation. - Experience in other fast-paced, high-volume environments is also valued. You Are - Highly organized with exceptional attention to detail. - Able to manage multiple opportunities at different stages simultaneously. - Proactive and comfortable following up to keep work moving forward. - A strong communicator who collaborates effectively across departments. - Curious, adaptable, and eager to learn new systems and technologies. - Comfortable asking questions and continuously improving processes. - Experience using AI productivity tools such as Claude, ChatGPT, and/or Microsoft Copilot to improve efficiency and streamline day-to-day work. - Patient and persistent when managing opportunities that require ongoing follow-up.
