Job Overview:

We are seeking a professional and customer-focused Intake/Sales Specialist to serve as the first point of contact for potential new clients. In this remote role, you will handle inbound inquiries, qualify leads, schedule consultations, and maintain accurate CRM records while delivering a compassionate and exceptional client experience. The ideal candidate has strong communication skills, experience in client intake or sales, and thrives in a fast-paced, performance-driven environment.

Responsibilities

  • Respond promptly to inbound inquiries and answer calls from potential new clients (PNCs) using approved intake scripts and protocols.
  • Conduct initial client intake by gathering relevant information, assessing needs, and determining qualification based on established criteria.
  • Perform conflict-check procedures and identify disqualifying factors in accordance with firm policies.
  • Schedule qualified prospects into the appropriate consultation type, ensuring appointment details, including time zones, are accurate.
  • Maintain complete and accurate client records in the CRM, including lead source, matter type, notes, status updates, follow-up tasks, and next steps.
  • Manage leads throughout the intake pipeline, ensuring records remain current and properly routed.
  • Execute pre-engagement follow-up activities, including appointment confirmations, reminders, and proactive outreach to improve attendance rates.
  • Follow up with no-show appointments and non-converted leads using established workflows and nurture campaigns.
  • Communicate the firm's services with professionalism, empathy, and confidence while delivering an exceptional client experience.
  • Collaborate with attorneys and internal team members while strictly adhering to firm procedures and compliance requirements.
  • Refrain from providing legal advice and operate within attorney-supervised processes at all times.
Qualifications
  • At least 3 years of client-facing intake, sales, or customer success experience (legal or professional services experience is preferred.)
  • With prior experience handling entire sales cycle
  • Comfortable using scripts, but skilled enough to adapt and sound natural, not robotic.
  • Able to work within Clio, CRM systems, and firm tools.
  • Strong spoken and written English; confident, warm phone presence.
  • Comfortable using CRM systems daily; high attention to detail and follow-through.
  • Comfortable with client-facing phone and video communication.
  • Strong relational skills and ability to connect emotionally with prospects.
  • Experience with Rapport Building (personal connection) / Empathy skills / Active Listening
  • Experience with same call close
Work Schedule: Monday - Friday, 11:00 PM - 8:00 AM Manila Time Work Setup: Home-based
  • Must have at least 50mbps for both download and upload speed
