About the Opportunity The Scheduling Partner is responsible for coordinating efficient, accurate, and sustainable rostering across the organisation to support high-quality client care and workforce utilisation. The role works closely with operational leaders, scheduling teams, and frontline team members to manage day-to-day roster coordination, workforce availability, service continuity, and scheduling changes in a responsive and professional manner.

The Scheduling

Partner contributes to positive employee and client experiences by proactively managing workforce capacity, supporting operational needs, and ensuring scheduling practices align with organisational processes, compliance requirements, and service expectations.

Key Accountabilities

Workforce Scheduling & Coordination

  • Develop, maintain, and optimise rosters across allocated regions and services.
  • Coordinate workforce allocation based on client needs, availability, skills, geographical location, and operational requirements.
  • Manage roster changes, shift replacements, unplanned absences, and urgent coverage requests in a timely manner.
  • Monitor upcoming rosters to identify gaps, conflicts, travel efficiencies, overtime risks, and workforce shortfalls.
  • Support continuity of care through sustainable and consistent scheduling practices.
  • Ensure contracted hours, availability, and rostering principles are considered during scheduling activities.
Operational Partnership & Communication
  • Build strong working relationships with leaders, team members, clients, and internal stakeholders.
  • Communicate roster updates, changes, and service impacts clearly, professionally, and respectfully.
  • Provide operational insights regarding workforce trends, capacity challenges, and scheduling risks.
  • Escalate workforce shortages, safety concerns, compliance risks, or service delivery issues appropriately.
  • Support leaders with workforce coordination and scheduling solutions.
  • Maintain accurate scheduling notes, records, and documentation to support transparency and effective handovers.
Systems, Compliance & Quality
  • Ensure scheduling activities comply with organisational policies, client requirements, industrial obligations, and operational procedures.
  • Support the accurate maintenance of scheduling systems and workforce data.
  • Review rosters to support efficient travel allocation, minimise broken shifts where possible, and optimise workforce utilisation.
  • Participate in continuous improvement initiatives relating to scheduling systems, workflows, and processes.
  • Contribute to quality, compliance, and audit activities as required.
Administrative Support
  • Maintain detailed and accurate records of phone interactions and scheduling issues in the scheduling system.
  • Escalate unresolved or urgent matters to the appropriate team member or leader.
  • Assist with sending out shift confirmations or follow-up messages as needed.
Collaboration & Team Contribution
  • Participate positively in team meetings, operational discussions, and improvement initiatives.
  • Support a collaborative and solutions-focused team environment.
  • Contribute ideas and recommendations to improve scheduling efficiency and service delivery outcomes.
  • Support change initiatives, new processes, and operational improvements across the scheduling function.

  • Attention to detail – accurate recording of calls and messages in scheduling systems.
  • Multitasking ability – manage phone lines while coordinating with internal team members.
  • Team-oriented – works collaboratively with schedulers and care teams to support smooth service delivery.
Essential Requirements
  • Relevant administrative, business, customer service, or workforce coordination experience.
  • Experience in high-volume rostering, scheduling, workforce coordination, or service delivery environments.
  • Strong organisational and time management skills with the ability to manage competing priorities.
  • Well-developed communication, problem-solving, and stakeholder engagement skills.
  • Strong computer literacy and experience using rostering/scheduling systems and Microsoft Office products.
  • Strong geographical awareness and ability to coordinate workforce logistics effectively.
  • Ability to work in a fast-paced and changing environment.
  • Satisfactory Police Check.
Desirable Requirements
  • Experience within healthcare, community services, aged care, disability, or home care environments.
  • Understanding of workforce compliance requirements and industrial awards.
  • Experience using scheduling platforms such as Carelink, Sandwai, Employment Hero, or similar systems.
Work Setup & Employment Details
  • Full-time employment
  • Fully remote (Philippines-based), with occasional in-person or virtual team engagements once or twice per year
  • 40 hours per week, aligned with Australian business hours
  • Company equipment will be provided
