Job Title: Technical Assistant_ Facilities Reporting To: Facilities Manager Work Schedule: Onsite – Baguio City, PH 1. Procurement and Transaction Support a. Process EPRs, RFQs, RFPs, and other Facilities transactions in accordance with established procedures. b. Coordinate required documentation, approvals, quotations, and supplier requirements. c. Maintain accurate transaction records and monitor completion status to support timely execution of Facilities requirements. 2. Facilities Documentation and Records Management a. Maintain organized records of blueprints, government permits, project documents, contractor files, and operational records. b. Ensure timely retrieval, control, and retention of Facilities documentation. c. Support audit readiness through accurate and complete record management practices. 3. Compliance and Regulatory Support a. Support PEZA, BFP, DOLE, and other regulatory documentation and permitting requirements. b. Coordinate permit applications, renewals, and compliance submissions. c. Maintain compliance records and monitor validity of permits, licenses, and certifications. 4. Contractor and Project Coordination a. Coordinate contractor documentation, access requirements, and project related approvals. b. Provide administrative support for Facilities repairs, maintenance activities, and improvement projects. c. Monitor assigned activities and provide status updates as required. 5. Asset and Administrative Support a. Serve as the Facilities Tools and Equipment Custodian and maintain accountability records. b. Process Travel Authorities, Travel Expense Reports, and vehicle-related documentation. c. Maintain records of Facilities assets, equipment, and fleet activities. 6. Operational Support and Continuous Improvement a. Prepare workplace signage, visual aids, reports, and departmental communication materials. b. Support Facilities initiatives, operational requirements, and departmental projects. c. Identify opportunities to improve document management, reporting, and administrative processes. Experience: Minimum of 3 years of experience in clerical, administrative, procurement, records management, or operational support functions. Experience in document control, facilities administration, contractor coordination, or compliance documentation is an advantage. Skills and Competencies: Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook. Records and document management. Administrative and transaction processing. Strong organizational and coordination skills. Data gathering and report preparation. Attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines.
