ABOUT THE ROLE
This role is ideal for someone who has succeeded as a Home Care Scheduler, Staffing Coordinator, or Scheduling Manager and is passionate about helping others succeed. You will lead training programs for new and existing virtual assistants, with a primary focus on home care scheduling operations, caregiver staffing, client scheduling, and scheduling software platforms. Your real-world experience will bridge the gap between theory and execution.

WHAT YOU WILL DO
Facilitate live virtual training across OLIVIA's core curricula and the WellSky-focused universal scheduler certification, including onboarding bootcamps that get every new cohort ready before client placement. Coordinate role-specific tracks for schedulers, recruiters, and home care admin support VAs, and deliver one-on-one coaching for VAs who need extra support. Maintain and improve existing training assets (module decks, Taglish narration scripts, knowledge checks, and assessments) and build new modules in response to client feedback, platform updates, and industry shifts. Partner with the Service Experience Coordinator to translate recurring client issues into curriculum improvements. Keep all content current on HIPAA, home care compliance, and platform best practices. Identify VA skill gaps from client feedback, audits, and performance reviews, then design targeted remediation plans or curriculum updates. Maintain individual VA training records, certifications, and continuing education tracking, and celebrate the wins. Run a centralized, clearly versioned training library, and track completion, assessment, and certification metrics across the workforce. Report weekly to the Training & Development Manager and Director of Operations on training operations and program effectiveness, tied to VA performance and client retention.

PLATFORM EXPERIENCE (at least one major home care platform)
WellSky, AxisCare, ClearCare, or HHAeXchange.

WHAT WE ARE LOOKING FOR
Required: At least 1 year of hands-on experience as a Home Care Scheduler, Staffing Coordinator, Scheduling Manager, or Workforce Coordinator in the US home care industry. This is a must. The role demands proven, real-world scheduling experience, not a few months of exposure, because these skills cannot be mastered in a short time.

Strong candidates will also bring: Prior experience creating SOPs, training materials, or instructional content. Experience training, mentoring, coaching, or onboarding team members. Strong organizational and documentation skills. Comfort facilitating virtual training sessions via Zoom or Google Meet. Tagalog and English bilingual communication skills. Experience working with remote teams or virtual assistants. Knowledge of HIPAA and home care compliance requirements.

MINIMUM SYSTEM REQUIREMENTS

Computer
Operating System: Windows 10 / Windows 11 or latest macOS.
CPU: Windows: Intel i5 (8th Gen+) or AMD Ryzen 5+; Apple/MacBook: Intel i5+ or Apple M1 chip or newer (M2, M3, etc.).
Memory: 8 GB+ (16 GB ideal for multitasking).
Storage: 256 GB SSD/HDD.

Internet, Primary Connection
Download and Upload: Minimum 85 Mbps each, verified via live speed test at the IT System Check.
Type: DSL or Fiber.
Ownership: home-owned/in-house DSL, Fiber, or Cable.
Recommended Plan: at least 150 Mbps advertised, since Philippine ISP plans often deliver below the advertised rate, so this margin reliably clears the 85 Mbps minimum.
Connection: Wired (Ethernet) recommended for the check; WiFi is acceptable if it meets the threshold at test time.

Internet, Backup Connection
Download and Upload: Minimum 50 Mbps each, verified via live speed test.
Recommended Plan: at least 100 Mbps advertised (e.g., LTE pocket WiFi or hotspot) to reliably clear the 50 Mbps minimum.
Acceptable Options: home WiFi from major providers (e.g., Smart, Globe), a strong 5G/LTE data hotspot (prepaid or postpaid) via a mobile phone, or an LTE antenna-type router.

Backup Power
Acceptable Sources: gas or diesel generator; high-powered inverter (at least 300 watts, laptops only); or a heavy-duty power bank (minimum 120,000 mAh, laptops only).
Duration: must power both computer and internet for 8 to 9 hours to cover a full shift during outages.

Peripherals and Workspace
Headset & Microphone: USB noise-cancelling set (e.g., Logitech H390 or equivalent).
Camera: 720p minimum, 1080p recommended for Zoom/Google Meet. A quiet, well-lit workspace with no heavy background noise.
