Executive Assistant – CEO Support

Permanent Work From Home | Full-Time | Night Shift

We are looking for an experienced Executive Assistant to provide high-level support to our CEO and help keep day-to-day priorities organized, visible, and moving forward.

This position is ideal for someone who is naturally organized, thinks ahead, follows through on commitments, and is comfortable working independently. You will be trusted with important information, coordinate with different stakeholders, and help the CEO stay focused on the work that matters most.

Technology is an important part of the role. We use AI and digital productivity tools to reduce administrative work, improve communication, and make better use of time.

Your Day-to-Day Work

  • Keep the CEO's calendar organized and make sure meetings and priorities are properly coordinated.
  • Manage incoming emails, identify important items, and help prepare responses and follow-ups.
  • Arrange travel plans, schedules, accommodations, and expense-related requirements.
  • Prepare documents, presentations, reports, and meeting materials.
  • Take notes during meetings and keep track of decisions, assignments, and deadlines.
  • Follow up with people across the organization to make sure agreed actions are completed.
  • Coordinate with employees, leaders, clients, and external contacts when needed.
  • Assist with projects and other business priorities led by the CEO.
  • Research information, gather facts, and summarize findings to support decision-making.
  • Use tools such as ChatGPT, Copilot, Claude, and other technology to work more efficiently.
  • Look for better ways to organize information and simplify recurring administrative tasks.
  • Maintain confidentiality and exercise sound judgment when handling sensitive matters.

What You Bring

  • 5 or more years of experience supporting a CEO or senior executive.
  • Strong experience with calendar and inbox management.
  • Excellent written and spoken English.
  • Strong organizational and time-management skills.
  • Ability to manage several priorities without losing attention to detail.
  • A proactive approach—you don't wait to be reminded about important tasks.
  • Strong follow-up habits and a genuine sense of ownership.
  • Good judgment and discretion when handling confidential information.
  • Comfortable working independently in a remote environment.
  • Proficiency with Microsoft Office, Outlook, Teams, SharePoint, OneDrive, and Zoom.
  • Experience with AI tools such as ChatGPT, Copilot, Claude, or similar platforms.
  • Willingness to learn new systems and ways of working.
  • Availability to work U.S. Eastern Time night shift hours.
  • A reliable internet connection and dedicated home office.
