Virtual Assistant - AI

This a Full Remote job, the offer is available from: Africa, Philippines

About the Company

We help B2B companies with developer tools, working in the cloud infrastructure space. As the company grows, we're looking to bring on a Virtual Assistant to take ownership of day-to-day administrative and operational support so the founder can focus on the business.

Role Overview

We are looking for a proactive, detail-oriented Virtual Assistant to support our founder primarily with inbox management, calendar management, and event planning, along with light research on existing and prospective customers. This is a full-time role, working Eastern Time hours, with clear room to grow into a broader set of responsibilities as trust is built and the working relationship develops.

Key Responsibilities

Email Management

•   Monitor and triage the inbox daily, flagging urgent or high-priority items

•   Draft, proofread, and send responses on the founder's behalf where appropriate

•   Organize inbox folders/labels and archive or unsubscribe from unnecessary clutter

•   Follow up on outstanding emails to keep threads moving

Calendar Management

•   Schedule, confirm, and reschedule meetings across time zones

•   Proactively resolve scheduling conflicts and keep the calendar up to date

•   Prepare the founder with agendas or relevant context ahead of meetings

•   Coordinate with external parties to arrange calls and meetings

Event Planning & Research

•   Research relevant industry events, conferences, and meetups worth attending or sponsoring

•   Handle logistics: registrations, travel coordination, and scheduling around events

•   Put together event briefs/summaries with recommendations

Customer & Market Research

•   Gather background research on existing customers ahead of check-ins or renewals

•   Research potential new customers and compile findings into organized briefs

•   Note: this is a research and preparation function only — no cold calling or outbound outreach is required

Project & Issue Tracking

•   Support light project and issue tracking in Linear

•   Help keep tickets, tasks, and statuses organized and up to date

General Administrative Support

•   Take on ad hoc administrative tasks as they come up

•   Help build and document simple processes (SOPs) for recurring tasks

•   Take on additional responsibilities over time as the role grows

Requirements

•   Prior experience with a project management or issue-tracking tool (e.g., Linear, Asana, Jira, Trello); Linear experience is a plus but not required

•   Prior experience managing email and calendars for an executive or founder

•   Strong written and verbal English communication skills

•   Highly organized, with strong attention to detail and follow-through

•   Comfortable working independently and learning new tools/processes with minimal hand-holding

•   Able to work Eastern Time (ET) hours

Nice to Have

•   Experience supporting a startup or tech company

•   Familiarity with B2B sales or customer success workflows

•   Experience with light research or reporting for outbound/marketing purposes

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?
