Virtual Insurance Back-Office Agent
Position Overview
We are seeking a highly organized and detail-oriented Virtual Insurance Back-Office Agent based in the Philippines to provide administrative and operational support to an insurance broker and their team.The Virtual Agent will handle a variety of insurance back-office functions, including policy processing, data entry, documentation, policy maintenance, customer and carrier correspondence, and other administrative tasks that allow the broker and producers to focus on sales, client relationships, and business development.
The successful candidate should have strong attention to detail, excellent written and verbal English skills, the ability to work independently, and preferably experience working within the insurance industry and/or insurance agency management systems.
Key Responsibilities
Policy & Administrative Support- Enter, update, and maintain accurate policy and client information in the broker’s systems.
- Utilize Farmers insurance software and related systems to complete assigned back-office tasks.
- Process policy transactions, endorsements, renewals, cancellations, and other policy-related changes as directed.
- Review policy information for accuracy and completeness.
- Download, upload, organize, and maintain policy documents and correspondence.
- Assist with preparation of applications, supplemental forms, certificates, and other insurance documentation.
- Process incoming documents and route information to the appropriate broker or team member.
- Maintain organized electronic files in accordance with agency procedures.
- Assist brokers and producers with daily administrative activities.
- Prepare information for client and carrier communications.
- Follow up on outstanding documentation, applications, signatures, and other required information.
- Assist with renewal preparation and gathering required policy information.
- Research policy information and provide accurate information to the broker.
- Maintain task lists and follow up on outstanding items.
- Help keep the broker’s book of business current and accurate.
- Enter data accurately and efficiently into agency and carrier systems.
- Verify information across multiple systems and identify discrepancies.
- Perform quality-control checks on policy and client information.
- Maintain confidentiality of client, policy, financial, and business information.
- Follow established workflows, procedures, and security protocols.
- Communicate professionally with brokers, agency personnel, carriers, and other authorized contacts.
- Respond to internal requests in a timely manner.
- Draft professional emails and correspondence as requested.
- Escalate issues, exceptions, or items requiring broker authorization.
- 2+ years of experience in insurance, insurance agency operations, or a related administrative role preferred.
- Experience with Farmers insurance systems/software strongly preferred.
- Understanding of basic Property & Casualty insurance terminology and policy transactions.
- Excellent written and spoken English.
- Strong computer and data-entry skills.
- Excellent attention to detail and accuracy.
- Ability to work with multiple systems and applications simultaneously.
- Strong organizational and time-management skills.
- Ability to follow detailed processes and procedures.
- Ability to work independently with minimal supervision.
