Virtual Paralegal - Australian Client Experience

We are looking for a highly organized and proactive Paralegal Virtual Staff to support an Australian law firm.

We are looking for the following specific requirements

  • Willingness to support legal, administrative, billing, and marketing functions
  • Available to work during Australian business hours (AEST)
  • Reliable internet connection and remote work setup
Your responsibilities will include (but are not limited to):
  • Draft legal documents, correspondence, and file notes
  • Assist with Wills, Estates, and Property Law matters
  • Review contracts and perform calculations of figures when required
  • Conduct legal research and assist with drafting articles for publication
  • Onboard new clients and manage client files from inception
  • Manage and respond to email correspondence
  • Conduct phone follow-ups with clients and third parties
  • Handle new client inquiry calls professionally
  • Maintain timely and professional client communications
  • Assist with the firm's marketing and client engagement initiatives
  • Prepare and schedule content for websites, newsletters, and social media channels
  • Coordinate seminars, webinars, and networking activities
  • Maintain and update client and referral databases
  • Assist in preparing marketing materials, presentations, and proposals
  • Monitor and report on marketing activities and campaigns
  • Record and maintain attorneys' billable hours and time entries
  • Prepare, review, and issue client invoices
  • Monitor billing records and outstanding invoices
  • Assist with collections and invoice follow-ups
  • Maintain confidential billing records and reports
  • Provide general administrative support to the principal lawyer
  • Maintain organized and accurate client files and records
  • Support day-to-day office operations
