We are a fast growing scale-up, opening our first offices in the Philippines only 4.5 years ago, currently a global team of 250, we have plans to expand to 500+ employees over the next 3 years. We are seeking a highly organized, detail-oriented, and full-time Administrative Assistant to manage and compile comprehensive post-project documentation. The primary focus of this role is to assemble Operations and Maintenance (O&M) manuals for commercial construction projects based in New South Wales (NSW). These manuals serve as an essential resource for clients, providing crucial product care data, warranties, and maintenance guidelines. This is a position that requires a high level of precision, formatting accuracy, and strict compliance with builder templates. The use of any AI tools to process, format, or input data is strictly prohibited in order to safeguard proprietary company and builder information.  About the Role - Assemble and compile detailed post-project O&M manuals by collating technical data, installation guides, warranties, and maintenance guidelines. - Navigate existing company systems and actively search supplier databases to extract relevant technical specifications and warranty information. - Adapt to documentation varying in complexity and strictly format manuals according to varying builder-specific templates. Note: This role focuses strictly on internal formatting and document processing; it does not involve direct communication with builders. About You - Prior experience managing warranty documentation or working in an environment handling warranty lifecycles is highly preferred - Proven ability to manage large volumes of paperwork effectively while maintaining flawless data accuracy and formatting consistency. - Flexibility to manage administrative tasks ranging from simple data entry to highly complex document structuring. - High proficiency in the Microsoft 365 suite (especially Microsoft Word). - Strong capability in digital document management, particularly advanced PDF handling.
