WFH Finance & Legal Admin Assistant - AU (Xero, Clio, MS Excel)

Overview

Our client is looking for a reliable, detail-oriented Finance & Legal Admin Assistant - AU (Xero, Clio, MS Excel) to support the principals of a Melbourne-based immigration law firm. In this key finance-focused role, you will maintain accurate Xero records, handle accounts payable and receivable, manage client disbursement schedules, and assist with monthly reconciliations. This opportunity is perfect for a process-driven professional with strong numerical and Excel skills who thrives in an independent, high-trust work environment.

Schedule:

  • 10 hours per week, split across three days (Tuesday to Thursday)
  • Tuesday, Wednesday and Thursday during AEST morning (9:00AM - 1:00PM)
Responsibilities Finance & Bookkeeping (Core Focus)
  • Reconcile Xero against bank accounts and update transaction records including invoices
  • Maintain accounts payable and receivable ledgers
  • Prepare payment schedules and supporting documentation for principal approval
  • Follow up on overdue invoices and outstanding reimbursements
  • Record and reconcile visa application payments and government disbursements per client matter
  • Prepare and maintain disbursement schedules for active immigration files
  • Assist with client billing for immigration-related charges
Monthly & Periodic Tasks
  • Produce monthly financial reports against budget
  • Complete month-end bank, credit card, and trust account reconciliations
  • Assist with payroll preparation
  • Liaise with external accountant as needed
Immigration & General Admin Support (Ad Hoc)
  • Help organise client financial documentation against immigration checklists
  • Support the Paralegal with Excel and numbers-based tasks
  • General finance and administration tasks to reduce principal workload
Requirements
  • Proficient in Microsoft Excel -- comfortable with formulas and basic data manipulation
  • Hands-on experience with Xero
  • Familiar with Australian bookkeeping requirements, particularly GST classification
  • Strong written English -- clear, professional communication matters in this environment
  • Detail-driven and process-minded -- you catch errors before they become problems
  • Discreet -- you will handle sensitive personal and financial information
  • Self-sufficient -- able to work through issues with the end objective in mind
  • Background in business, finance, or administration preferred
  • Experience using Clio preferred
