As our Vacation Rental Operations & Invoicing Coordinator, you will serve as the organizational backbone of a thriving property management business by keeping back-office operations and guest support running seamlessly. We are looking for someone with proven experience in administrative support or data entry, strong proficiency in QuickBooks for invoicing and bookkeeping, and a background managing guest communications and customer service workflows. Hands-on experience with short-term rental platforms like Airbnb or VRBO and familiarity with PMS platforms like Hostaway are essential, while prior experience in vacation rental or property management is a major plus.

Client Overview:

Our client is a lean, fast-growing vacation rental property management company based in Fort Lauderdale, Florida. They manage approximately 60 properties across platforms like Airbnb, VRBO, and Marriott, serving both property owners and guests. They pride themselves on efficiency and delivering exceptional service to all stakeholders.

Schedule:

Flexible part-time schedule - Eastern Time

Responsibilities:

  • Input reservations from Airbnb and other booking channels into the property management system daily
  • Monitor the Hostaway platform each morning to ensure no guest messages were missed (up to 100+ daily messages)
  • Perform data entry in QuickBooks, creating line-item invoices for cleaning and maintenance services for each property owner monthly
  • Organize and track guest communications, property owner updates, and operational follow-ups
  • Assist with special projects such as new software implementations or system migrations as needed
  • Maintain accurate records across multiple platforms including Hostaway and QuickBooks
  • Provide flexible support during high-volume periods or project-based initiatives
Requirements:
  • Proven experience in administrative support or data entry roles
  • Strong proficiency with QuickBooks for invoicing and bookkeeping tasks
  • Excellent organizational skills and attention to detail when managing multiple systems
  • Comfortable working independently on a flexible schedule
  • Reliable internet connection and ability to work remotely
  • Excellent written and verbal communication skills in English
Qualifications:
  • Prior experience with vacation rental or property management companies is a plus
  • Familiarity with Hostaway or similar property management systems
